- Position: Operations Coordinator
- Employment Type: Full-Time, Temporary (12-Month Maternity Leave Coverage)
- Reporting to: Vice President, with cross-functional collaboration across the Executive Leadership Team.
- Location: Onsite, Calgary Campus
- Pay: $45,000 to $50,000 annually

Position Overview:
The Operations Coordinator supports the day-to-day operations of MCG Career College, working closely with the leadership to ensure meetings, schedules, and follow-ups are managed effectively. The role spans executive support, operational coordination, and internal communications, with responsibility for delivering internal events and supporting employee engagement initiatives. Sound judgment, strong organization, and discretion are essential, along with the ability to manage multiple priorities and build effective working relationships across the organization.
Key Responsibilities:
Executive Support
- Proactively manage leadership calendars to maximize efficiencies and eliminate schedule conflicts.
- Preparing agendas and relevant background materials in advance.
- Take detailed and accurate minutes, and distribute formatted summaries to relevant stakeholders via Google Workspace within established timelines, with all minutes uploaded and organized in shared team drives
- Filter and triage leadership communication with professionalism and discretion.
- Coordinate logistics for leadership events, off-sites, and external engagements
HR and Recruitment Coordination
- Support the full-cycle recruitment process including coordinating job postings, tracking applications, scheduling interviews, and communicating with candidates
- Work closely with HR to ensure onboarding is smooth, complete, and genuinely welcoming for every new hire
- Support employment offers, employment agreements, and onboarding documentation.
- Maintain organized recruitment files and candidate records during the recruitment stages.
- Coordinate/Follow-up current hire paperwork, first-day logistics, access setup,
and orientation scheduling
- Track probationary review timelines and flag upcoming milestones to the relevant manager
Team and Operations Coordination
- Serve as the operational link across MCG departments, tracking action items to completion and ensuring leadership updates are distributed to required individuals using designated communication channels.
- Support internal communications across MCG, drafting and distributing announcements, updates, and team-wide messages that are clear, timely, and consistent with brand standards.
- Support shared documentation, templates, and process guides in Google Workspace to ensure the team has access to current resources.
- Support the VP/CEO's professional LinkedIn profile with authentic leadership content, as needed.
- Coordinate monthly content calendars with leadership to promote initiatives, milestones, events, and achievements.
Employee Engagement and Internal Events
- Lead the planning and execution of internal events including staff appreciation days, team celebrations, seasonal gatherings, graduation day and milestone moments across all MCG campuses.
- Develop and coordinate employee engagement programs and initiatives that reflect MCG's people-first culture and keep our team connected, recognized, and motivated.
- Source venues, vendors, and materials while managing event budgets responsibly and in line with MCG's operational guidelines.
- Champion a positive workplace culture by bringing energy, creativity, and consistency to every engagement touchpoint throughout the year.
Qualifications
- Minimum 1 year of experience in an Executive Assistant, Operations Coordinator, or HR support role
- Post-secondary diploma or degree in Business Administration, Human Resources, or a related field. is an asset.
- Demonstrated experience supporting senior leadership in a multi-site or fast-paced environment
- Solid working knowledge of Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
- Understanding of Alberta Employment Standards is preferred.
- Experience with recruitment coordination, HR administration, or employee engagement is a strong asset.
- Experience with operations in a Private Career College in any province is a strong asset.
- Experience coordinating multiple projects and managing competing priorities
