OVERALL SCOPE OF POSITION:

The Executive Assistant will provide assistance to the President and his high-level executive team in all daily administrative and office management tasks.

In addition to general administrative duties, the Executive Assistant will be responsible for scheduling meetings, taking minutes during meeting and ensuring follow up, maintaining databases and producing reports or presentations for the President and his executive leadership team.

MAIN DUTIES & RESPONSIBILITIES

- Support the President in all daily administrative & management tasks
- Ensures appropriate follow up of management/technical/weekly meetings




- Manages the President’s agenda and appointments – organizes meetings, makes travel arrangements
- Reviews all incoming emails and sorts/categorizes/prioritizes for review
- Acts as the point of contact between the Executive team and internal/external colleagues
- Follow up on open items/reports and respond/handle some minor issues as needed
- Ensures requests for information from the President are addressed in a timely manner
- Writing of various reports, letters, memos, etc.
- Follow up of ongoing projects or files and update the executive team as required
- Handles all correspondence directed to Managers
- Other related tasks as may be required

KEY WORKING RELATIONSHIPS

- Works closely with the President and his executive team as well as all managers and employees of the company
- External organizations, companies, clients

QUALIFICATIONS (EDUCATION & EXPERIENCE)

- DEC in Secretarial studies or Office Administration
- 5-7 years experience in a similar position for a mid-size company
- Capacity to write and translate in English and French
- Autonomy and able to prioritize
- Superior organization and time management skills – ability to multi-task
- Proficiency in computer skills - Office Suite, etc.
- Advanced Excel/Word skills
- Strong verbal and written skills in English and French
- Attention to detail in a fast paced environment
- Is able to maintain professionalism and confidentiality of sensitive information at all times
- Reading architectural drawings is an asset.

This is a part-time opportunity with a flexible schedule of approximately 20–25 hours per week.
