Clinical Administrative Assistant
Division of Otolaryngology – Head & Neck Surgery
Supporting the Practice of Dr. Usman Khan

The Division of Otolaryngology – Head & Neck Surgery is seeking a dependable, highly organized, and motivated Clinical Administrative Assistant to support the busy clinical and academic practice of Dr. Usman Khan in the Division of Otolaryngology – Head & Neck Surgery at Dalhousie University.

This is a key role supporting all aspects of a high-volume Head & Neck Surgical Oncology and Reconstruction practice. The successful candidate will play an integral role in ensuring exceptional patient care through efficient coordination of clinical, surgical, and administrative activities.

Position Responsibilities
Responsibilities include, but are not limited to:

- Managing day-to-day office administration and clinical operations
- Scheduling outpatient clinics, consultations, and follow-up appointments
- Coordinating patient referrals and maintaining referral waitlists
- Managing surgical bookings and operating room waitlists
- Processing MSI billing accurately and efficiently
- Maintaining confidential patient records and medical documentation
- Communicating professionally with patients, physicians, hospitals, and other healthcare providers
- Coordinating with Nova Scotia Health and Dalhousie University administrative systems to support both clinical and academic responsibilities
- Assisting with general office organization and administrative projects as required
- As this position supports a surgeon who participates in on-call coverage and emergency patient care, occasional flexibility outside of regular business hours may be required to address urgent scheduling or patient-related matters.





Qualifications
The successful candidate will possess:

- Diploma or certificate in Business or Office Administration, Medical Office Administration, or an equivalent combination of education and relevant experience
- Previous experience in a healthcare or surgical office is strongly preferred
- Knowledge of hospital and academic healthcare environments is considered an asset
- Experience with MSI billing is preferred
- Proficiency with electronic medical records, electronic scheduling systems, Microsoft Office 365, email, and other healthcare software applications (experience with Accuro EMR and Nova Scotia Health systems is an asset)
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks independently
- Strong written and verbal communication skills
- Qualified, courteous, and compassionate approach to patient care
- Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information
- Ability to work collaboratively with physicians, nursing staff, hospital departments, and university personnel
- Ability to work independently with minimal supervision while maintaining a high level of accuracy and attention to detail
- A satisfactory Criminal Records Check will be required upon hire

Position Details

- Permanent full-time position (40 hours per week)
- One-year probationary period
- Salary: Starting at $55,000 (Commensurate with qualifications and experience)
