Overview
We are seeking a detail-oriented and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for managing various aspects on the administrative team detailed below. The position requires the candidate to handle reception duties, however based on skillset and willingness, there is an opportunity to do various aspects of administrative work and chosen candidate will be compensated according to their skillset and abilities. Highlighted below are the mandatory duties of the role, plus additional duties available which will be compensated for accordingly based on ability.

Mandatory Duties

- Manage day-to-day reception duties including incoming calls, incoming and outgoing mail and being the first contact for any guests visiting the office
- Conduct comprehensive conflict-of-interest searches for all new client matters in accordance with firm policies, professional obligations, and legal industry standards.
- Open new client and matter files in the firm's practice management system, ensuring all information is entered accurately and consistently.
- Order and maintain inventory of office supplies and equipment
- Various office related tasks (setup computers, onboard Toronto team members, etc.)
- Manage the Toronto office - maintenance of lunchroom and surrounding areas, ensuring it is kept clean and tidy
- Assist in planning events internally and externally
- Assist the marketing team as needed with social media and marketing initiatives
- Other administrative tasks as required

Additional Responsibilities Available - Additional Compensation based on skillset and abilities

- Lead the planning of internal and external events, working closely with the Partners spearheading the events




- Leading the social media team - creating posters, flyers, social media posts through Canva or other content creation programs

Skills

- College Diploma or University Degree
- A legal background or previous experience working in a law firm or professional services environment is considered a strong asset, as familiarity with legal conflict rules, client intake processes, and practice management systems will support success in this role.
- Excellent attention to detail and organizational skills
- Strong communication skills for collaborating with team members and external vendors
- Ability to prioritize tasks effectively in a fast-paced environment
- Bonus: event planning and/or marketing/content creation experience and skillset

You will have an opportunity to gain experience in the legal field, learn new systems and gain experience doing administrative tasks. In addition, if you have strong organizational skills and a willingness to learn and lead event planning and marketing, this is a great prospect to lead some of the administrative functions.

Job Type: Full-time

Pay: $45,000.00-$60,000.00 per year
