Position Summary

The Personal Assistant provides comprehensive administrative and personal support to the VP/ President by managing daily schedules, coordinating meetings, handling correspondence, organizing travel, and ensuring smooth day-to-day operations. The ideal candidate is highly organized, proactive, detail-oriented, and able to maintain confidentiality while managing multiple priorities in a fast-paced environment.

Key Responsibilities

- Manage and maintain the Executive's calendar, appointments, and daily schedule.
- Coordinate and schedule internal and external meetings.
- Screen and respond to emails, phone calls, and other correspondence on behalf of the Executive.
- Prepare letters, reports, presentations, meeting agendas, and other business documents.
- Arrange travel, including flights, accommodations, transportation, and itineraries.
- Organize meetings by preparing materials, taking meeting minutes, and following up on action items.
- Maintain confidential files, records, and sensitive business information.
- Coordinate with clients, vendors, suppliers, and internal departments.
- Track deadlines and ensure timely completion of assigned tasks and projects.
- Handle expense reports, receipts, and basic administrative documentation.
- Assist with event planning and coordination when required.
- Conduct research and gather information to support business decisions.
- Order office supplies and coordinate with service providers as needed.
- Perform general administrative and clerical duties to support productive office operations.




- Carry out additional administrative or personal support duties as assigned.

Qualifications

- Diploma or bachelor's degree in Business Administration, Office Administration, or a related field is preferred.
- Minimum 2 years of experience in an administrative, executive assistant, or personal assistant role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritize tasks and work independently.
- High level of professionalism and discretion when handling confidential information.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Experience with scheduling software and virtual meeting platforms is an asset.

Working Conditions

- Full-time position.
- Primarily office-based with occasional off-site meetings or errands as required.

Pay: From $40,000.00 per year
