THE OPPORTUNITY
Sales & Group Housing Coordinator, Hilton Garden Inn & Homewood Suites, Calgary Downtown
Reports to: Director Sales & Marketing
THE COMPANY
Manga Hotel Group is a privately held Canadian company involved in the acquisition, development, and management of real estate with a focus on high quality hotels affiliated with prestigious brands such as Hilton, Marriott, Hyatt, and the InterContinental Hotel Group. Currently, Manga Hotels owns and operates 30 hotels with over 5000 rooms, 15 food and beverage outlets and 5 residential properties with a number of new properties and developments in the pipeline.

THE HOTELS
Dual-branded in the East Village of Calgary’s Downtown, 198 room Hilton Garden Inn and 122 suite Homewood Suites, with 4,000 sq. ft. of naturally lit meeting space on one level, Cannery Kitchen & Social, and indoor pool. Our hotels are adjacent to Calgary’s award winning Central Public Library and Studio Bell - Canada’s National Music Centre, 750m from the Stampede entrance, and 600m away from the newly opened BMO Event Centre in Calgary’s Entertainment District.
THE ROLE
The Sales Catering Coordinator contributes to the overall success of the hotel by promoting and securing hotel catering services to maximize hotel revenue and guest satisfaction, finalizing sales of other seller’s segments for both room blocks and events or combination thereof, while also completing administrative and marketing tasks as directed by department leader.

ACTIVITIES
The duties and responsibilities for the Sales Catering Coordinator include, but are not limited to the following:
· Assist Sales Managers and Director of Sales & Marketing in acquiring new business and maintaining existing accounts through sales blitz, prospecting,
planned sales calls, and telephone solicitations.
· Develop and maintain relationships with key clients and group contacts to provide maximum personalized guest service.
· Work with guests and event planners in planning events and recommend catering solutions to meet guests’ needs.
· Create proposals and quotes for catering events, while negotiating within established parameters.
· Prepare sales proposals and contracts.
· Manage group housing including but not limited to: managing rooming lists, pick up data and submissions, cut off dates, etc.
· Create Banquet Event Orders to support Catering & Event Coordinator and communicate with operating departments.
· Co-ordinate and follow-up with all hotel operational departments to ensure delivery of promised service as mutually agreed.
· Utilize Property Sales System to track, solicit and follow up on accounts.
· Work to ensure accurate and timely billing of all groups.
· Work with Front Office to ensure accurate group housing, local tracking, identify gaps for additional support where required.
· Work with Director of Sales & Marketing, Front Office Manager and team to ensure up to date, effective and efficient SOPs.
· Coordinate and participate in sites, FAMs and industry / trade functions and shows.
· Work in conjunction with Group & Event Coordinator to ensure appropriate coverage and support of Sales team with administrative, reporting, and marketing tasks.
· Participate in prescribed Hotel/Brand training and special projects.
· Be independently responsible for achievement of all objectives outlined in the action plans and budget.
· Achieving daily/weekly/ and monthly KPI’s for the role as assigned.
· Solicit client’s post event satisfaction, regardless of location.
· Work as part of a team and communicate with other departments as per hotel procedures to ensure excellent quality and service.
· Make suggestions for improvements in overall operations with an emphasis on increasing guest satisfaction, revenues, and profits.
· Display a high degree of professionalism and integrity as befitting a member of management.
· Fulfill Welcome Home Wednesday evening reception shifts as scheduled.

COMPETENCIES WE ARE SEEKING:
· 1+ years of hotel guest-facing experience required. Front desk experience preferred. Previous sales & catering experience an asset.
· Completion of High School Diploma required.
· Diploma or degree from a recognized hospitality or tourism program an asset.
· Excellent verbal and written communication and negotiation skills. Ability to engage with a diverse client set.
· Excellent planning and organization skills and attention to detail.
· Experience in sales and catering systems including Delphi.fdc or alternative CRM, OnQ PMS, PEP, or alternative PMS, OnQ R&I;, and OnQ Solicitation Management, to collect and analyze data and present information in spreadsheets and databases considered an asset.
· Knowledge of room set-ups and capacities in relation to types of events and meeting spaces.
· Experience with Social Media management.
· AGLC ProServe Certifications and Food Handlers Certificate considered an asset.
· Flexibility to keep a work schedule that meets event-based hours, the fluctuating business levels of a hotel.
