Position Summary:

We are seeking a professional and customer-focused Service Appointment Co-ordinator to join our automotive dealership team. The Service Appointment Co-ordinator acts as the primary communication link between customers and the service department. They manage the scheduling of maintenance and repairs, confirm bookings and send service reminders. This role requires a strong understanding of automotive systems, excellent communication skills, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

· Answer inbound calls and make outbound calls to schedule service appointments

· Assist customers with inquiries and provide a high level of service both over the phone and online

· Gather customer concerns, identify service needs, and communicate effectively with Service Advisors and Technicians

· Generate service appointments by following retention and business development programs

· Provide accurate estimates and communicate service details clearly to customers

· Conduct post‑service follow‑up calls to ensure customer satisfaction





· Maintain accurate customer records and document all interactions

· Support email and mail campaigns, including follow‑up with customers

· Stay up to date on manufacturer maintenance schedules, recalls, and service recommendations

Qualifications/Skills:

· Proven ability to deliver strong customer service and build relationships

· Motivated, organized, and able to manage multiple priorities in a fast‑paced environment

· Robust communication and interpersonal skills

· Attention to detail with the ability to document and manage customer interactions accurately

· Proficiency with MS Office and general computer systems

· Previous dealership experience and/or automotive knowledge is an asset
