CAREER OPPORTUNITY – ADMINISTRATIVE ASSISTANT
360 Land Surveying is a land surveying and geomatics firm located in Vancouver. Our office is conveniently located on the north end of the Commercial Drive District near many breweries and restaurants with easy access to downtown Vancouver and Highway 1. We provide land survey services to a variety of clients in the Lower Mainland such as homebuilders, government agencies, architects, lawyers, engineers, and homeowners.
We are looking for a Reception/Administrative Assistant to join our Vancouver team. Since we are trained as land surveyors, we are looking for someone to assist in the administrative, human resource, and bookkeeping part of the business so we can focus on land surveying. This position would suit a recent graduate looking to start their administrative career, and it is a unique opportunity to observe and participate in every aspect of a small business. There is a lot of potential for the right candidate to advance in their duties and management of administering a small business.
Responsibilities
- General reception and administrative duties such as screening phone calls and delegating service inquiries, processing incoming mail and invoices, arranging appointments, managing inventory of supplies, preparing routine correspondence, and working with confidential information.
- Providing administrative support to Project Managers so they can focus more on land surveying.
- Administering employee policies, promoting positive employee relations, and responding to employee administration inquiries.
- Managing the day-to-day relationship with the landlord, vendors, suppliers, insurance providers, professional associations, and other support businesses.
- Being an “ambassador” of the firm, welcoming clients, setting the tone of our office and ensuring that it consistently reflects the professionalism of our organization.
- Composing, proofreading, and formatting correspondence and other written communications.
- Assisting in bookkeeping and financial reporting to evaluate the performance of the company.
- Troubleshooting basic IT issues.
Requirements
- Bachelor's degree in business administration or a degree in a related discipline.
- Proficient with Microsoft Office (Word and Excel) and QuickBooks Online.
- Detail-oriented with a drive for quality and accuracy.
- Strong analytical thinking and problem-solving skills.
- Excellent verbal and written English communication skills.
- Proven communication and collaboration skills and passion for working in a team environment
- Demonstrates a continuous improvement mindset and stays connected to industry developments.
- Able to learn quickly and effectively apply new knowledge.
- Authorized to work in Canada.
