Overview

We are a busy, welcoming optometry practice and optical dispensary dedicated to providing excellent patient care and a personalized experience from the moment our patients walk through the door. We are looking for a professional, organized, personable, and motivated Medical Office Administrator / Optometric Assistant to join our team. This is an excellent opportunity for someone with a background in Office Administration, Medical Office Administration, Healthcare Administration, or a related field who enjoys working with people, staying organized, and being part of a hands-on team.

Responsibilities

- Greeting patients and providing a warm, professional experience.
- Answering phones, responding to texts, and assisting with patient inquiries.
- Scheduling, confirming, and coordinating appointments.
- Checking patients in and out and maintaining accurate patient information.
- Processing payments and handling basic administrative duties.
- Assisting with OHIP and third-party insurance-related administrative tasks.
- Preparing patient files and maintaining organized records.
- Assisting the Optometrist and Optometric Assistants with daily office flow.
- Supporting pre-testing and other clinical/administrative duties as trained.
- Assisting patients in our optical dispensary including helping patients with frame selection and basic optical needs.
- Maintaining a clean, organized, and welcoming reception and dispensary area.
- Restocking supplies and assisting with general office organization.
- Learning and following office procedures and systems.




- Taking initiative to identify tasks that need to be completed without always being asked.
- Other administrative and office duties as required.

Qualifications

The successful candidate will ideally have:

- Post-secondary education in Office Administration, Medical Office Administration, Business Administration, or a related field and/or relevant office administration experience.
- Previous experience in a medical, healthcare, optical, dental, or other professional office environment is an asset.
- Excellent communication and interpersonal skills
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills.
- Confidence using computers and learning new software.
- The ability to multitask in a busy environment.
- A professional, positive, and friendly personality.
- The ability to work independently while also being a strong team player.
- A willingness to learn about optometry, eyewear, and the optical industry.
- The ability to handle confidential patient information with discretion.
- Optometry or optical experience is not required for the right candidate. Training will be provided.
- Availability must include occasional Saturday mornings until noon, Wednesday evenings until 7pm.
- Opportunity for additional hours up to full time permanent status and/or paid professional training through the Canadian Association of Optometrists Optometric Assistant Program for the right candidate.

Pay: $19.60-$21.60 per hour
