Job Summary:
We are seeking a proactive and detail-oriented HR Assistant to join our Canadian HR team. This role provides comprehensive administrative and operational support to HR colleagues, with a focus on recruitment coordination, HR operations, attendance tracking, compliance, and policy implementation across multiple Canadian provinces. The ideal candidate is a solid communicator with a positive, can-do attitude and bilingual proficiency in English and Mandarin Chinese.
Key Responsibilities:
Recruitment Support:
- Assist HR team members with full-cycle recruitment activities, including job posting, resume screening, interview scheduling, and candidate communication.
- Coordinate onboarding processes for new hires, including offer letters, background checks, and new employee orientations.
- Maintain and update recruitment tracking systems and candidate databases.
HR Operations & Administration:
- Support daily HR operations, including employee record management, file maintenance, and HR system data entry.
- Track and manage employee attendance, leave balances, and time-off requests.
- Assist with benefits administration, payroll coordination, and employee inquiries regarding HR policies and procedures.
Compliance & Policy Support:
- Stay up to date with employment legislation and regulatory requirements across Canadian provinces (e.g., Ontario, British Columbia, Alberta, Quebec, etc.).
- Assist in developing, updating, and communicating HR policies and employee handbooks to ensure compliance with provincial and federal laws.
- Support the HR team in handling employee relations matters, workplace investigations, and accommodation requests as needed.
General HR Support:
- Respond promptly to employee inquiries related to HR policies, benefits, payroll, and other HR matters.
- Prepare HR reports, presentations, and documentation as required.
- Partner with cross-functional teams to support company-wide HR initiatives and projects.
- Provide backup support to other HR colleagues during peak periods or absences.
Qualifications & Requirements:
- Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
- 1–3 years of experience in an HR assistant, HR coordinator, or administrative support role.
- Solid understanding of Canadian employment laws and HR practices across multiple provinces.
- Bilingual in English and Mandarin Chinese (spoken and written) – required to support Chinese-speaking employees and stakeholders.
- Proficiency with HRIS systems, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and applicant tracking systems.
- Strong organizational skills with high attention to detail and accuracy.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Positive, proactive attitude with a strong team-player mindset.
- Ability to multitask, prioritize, and adapt in a fast-paced environment.
Pay: $45,000.00-$55,000.00 per year
