Position Overview
The Payroll & Office Administrator is responsible for the accurate and timely administration of payroll while providing administrative support to the accounting and office operations teams. This role maintains payroll records, coordinates employee benefits administration, supports day-to-day office functions, and assists with various administrative and operational tasks. The successful candidate is highly organized, detail-oriented, and able to manage confidential information with professionalism.

Key Responsibilities

Payroll Administration

- Process bi-weekly payroll accurately and on time.
- Maintain employee payroll records, deductions, taxable benefits, and direct deposit information.
- Calculate and process vacation pay, overtime, bonuses, commissions, and statutory holiday pay.
- Administer payroll deductions including CPP, EI, income tax, RRSP, advantages, garnishments, and other required deductions.
- Prepare and reconcile payroll remittances.
- Process Records of Employment (ROEs), T4s, and year-end payroll reporting.
- Respond to employee payroll inquiries.
- Maintain payroll confidentiality and data integrity.





Benefits & Employee Administration

- Administer employee benefit and RRSP enrollments, changes, and terminations.
- Coordinate required payroll documentation for new hires and employee changes.
- Maintain employee records and confidential personnel files.
- Liaise with benefit providers and payroll service providers as required.

Office Administration

- Provide general administrative support to the accounting and management teams.
- Maintain office supplies and coordinate office purchases.
- Assist with document preparation, filing, record retention, and electronic document management.
- Coordinate incoming mail, courier shipments, and general office correspondence.
- Assist with scheduling meetings and coordinating internal communications.
- Support company events and employee initiatives as required.
- Provide backup administrative support to other departments when required.

Qualifications

Required

- Minimum 1 year of experience in payroll administration.
- Strong organizational skills and attention to detail.
- Positive attitude and friendly team player.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information professionally.

Assets, not required

- Diploma or degree in Payroll Administration, Business Administration, Accounting, or a related field.
- PCP (Payroll Compliance Practitioner) designation is considered an asset.
