Accounts Coordinator
Position Overview
The Accounts Coordinator supports the Accounts Team in the day-to-day financial operations of CASA Foundation by ensuring the accurate processing of financial records, maintaining organized documentation, assisting with payroll and reconciliations, and providing administrative support for accounting functions. This role requires strong attention to detail, confidentiality, excellent organizational skills, and the ability to work collaboratively with internal departments to ensure compliance with organizational policies and financial procedures.
Key ResponsibilitiesAccounting Support
- Assist with the preparation, recording, and maintenance of financial transactions in a timely and accurate manner.
- Process invoices, expense claims, purchase requests, and payment documentation.
- Prepare and maintain accounts payable and accounts receivable records.
- Assist with bank reconciliations and ensure supporting documentation is complete.
- Maintain accurate filing systems for financial records, both electronic and physical.
- Verify financial documents for completeness and accuracy before processing.
- Assist in tracking budgets and expenditures for various programs and projects.
- Ensure financial records comply with CASA Foundation policies and applicable accounting standards.
Financial Reporting
- Assist in preparing monthly, quarterly, and annual financial reports.
- Compile supporting documentation required for audits, funders, and program reporting.
- Update financial spreadsheets and accounting databases accurately.
- Assist with payroll preparation by collecting and verifying timesheets and supporting documents.
- Maintain accurate financial records that support management decision-making.
- Support the Accounts Manager in preparing reports requested by senior management.
Administrative Support
- Organize and maintain financial files and accounting records.
- Monitor shared accounting inboxes and respond promptly to routine financial inquiries.
- Schedule meetings with vendors, auditors, and financial stakeholders as required.
- Prepare correspondence related to payments, invoices,
and financial documentation.
- Assist in maintaining inventory of financial forms and accounting supplies.
- Support onboarding by collecting banking and payroll documentation from new employees.
Team Collaboration
- Work closely with the Accounts Manager and other departments to support organizational financial operations.
- Provide courteous and qualified assistance to staff regarding financial procedures.
- Participate in departmental meetings and contribute ideas for improving financial processes.
- Communicate proactively regarding pending financial matters and deadlines.
- Support other team members during peak reporting periods or organizational events.
Compliance and Confidentiality
- Maintain strict confidentiality of all financial, payroll, and employee information.
- Follow internal financial controls and organizational policies.
- Ensure all supporting documentation complies with funding requirements and audit standards.
- Report discrepancies or unusual financial activity to the Accounts Manager immediately.
- Assist in maintaining compliance with CRA, funder, and regulatory requirements.
Problem Solving
- Identify errors or discrepancies in financial records and resolve routine issues independently.
- Escalate complex financial concerns to the Accounts Manager when appropriate.
- Follow up with vendors, employees, and departments regarding missing documentation.
- Recommend improvements to increase efficiency in accounting processes.
In-Person Interaction and Representation
- Maintain regular attendance and active participation in the office according to the assigned work schedule.
- Represent CASA Foundation professionally during meetings, training sessions, and organizational events.
- Provide friendly and professional customer service to staff, vendors, funders, and stakeholders.
- Assist during organizational events with financial administration, registrations, payment verification, and expense tracking.
- Promote a collaborative, respectful, and positive workplace culture.
Requirements
- Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 1–2 years of accounting or bookkeeping experience preferred.
- Knowledge of basic accounting principles and financial procedures.
- Proficiency in Microsoft Office, particularly Excel.
- Experience with accounting software such as QuickBooks or similar platforms is an asset.
- Excellent organizational and time management skills.
- Strong numerical accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with integrity.
- Ability to prioritize multiple tasks and meet deadlines.
Interactions and Organization Representation
- Communicate professionally with vendors, financial institutions, funding agencies, and internal departments.
- Preparing documentation for auditors and external financial reviews.
- Follow up on outstanding invoices, receipts, and supporting documentation.
- Represent CASA Foundation during meetings, financial workshops, training sessions, and organizational events as assigned.
- Maintain positive working relationships with employees, volunteers, partners, and external stakeholders.
Working Conditions
Travel between CASA Foundation regional locations may occasionally be required. Advance notice will be provided whenever possible. The role may also require attendance at organizational meetings, training sessions, community events, or annual conferences during weekdays or occasional weekends. The Accounts Coordinator is expected to maintain professionalism, flexibility, and confidentiality while representing CASA Foundation in all work environments.
Pay: $37,389.47-$62,255.55 per year
Work Location: Hybrid remote in Toronto, ON
