Part-Time Retirement Home Manager

Location: Bradford, Ontario
Employment Type: Part-time
Compensation: $40.00 per hour
Schedule: Approximately 20 hours per week, Monday to Friday
Anticipated Opening: December 2026

As we prepare to open a new retirement home in Bradford, Ontario, we are seeking an experienced and highly organized Part-Time Office Manager to support the home’s pre-opening preparation and ongoing administrative operations.

About the Role

The Office Manager will be responsible for the day-to-day administrative and financial functions of the retirement home. This includes resident accounts, billing, payroll preparation, purchasing, documentation, employee records, and communication with residents, families, vendors, and management.

This is a non-clinical position. The Office Manager will not be responsible for medical assessments, clinical decisions, medication management, or resident healthcare concerns. These responsibilities will remain with the nursing and clinical care team.

Key Responsibilities

- Manage the daily administrative functions of the retirement home
- Maintain accurate resident files, agreements, records, and documentation
- Support resident admissions, move-ins, transfers, and discharges
- Ensure required forms and agreements are completed and properly filed
- Prepare resident invoices and maintain billing records
- Monitor accounts receivable and accounts payable
- Process payments and assist with account reconciliation
- Respond to billing and administrative inquiries from residents and families
- Prepare and submit biweekly payroll information
- Review employee timesheets, attendance records, and payroll documentation




- Maintain employee personnel and compliance files
- Create purchase orders and maintain purchasing records
- Coordinate office, household, and operational supply orders
- Maintain petty cash records and supporting documentation
- Communicate with vendors and coordinate appointments and services
- Answer telephone calls, emails, and general inquiries
- Prepare administrative and financial reports for management
- Maintain confidentiality of resident, employee, and company information
- Support management with other administrative duties as required

Pre-Opening Responsibilities

Before the retirement home opens, the Office Manager may assist with:

- Establishing resident and employee filing systems
- Preparing administrative forms, agreements, and templates
- Organizing office equipment and supplies
- Coordinating vendors and service providers
- Assisting with payroll and timekeeping system setup
- Supporting initial resident inquiries and admissions
- Developing administrative procedures for the opening of the home

Qualifications

- Minimum of three years of office management or related experience
- Previous experience in a retirement home, long-term care home, healthcare organization, or home-care environment is strongly preferred
- Diploma or certificate in Business Administration, Office Administration, Accounting, or a related field is preferred
- Experience with invoicing, accounts receivable, accounts payable, and payroll preparation
- Knowledge of employee timekeeping, attendance, and record management
- Solid proficiency in Microsoft Outlook, Excel, and Word
- Experience with accounting, payroll, HRIS,



Yardi, or PointClickCare systems is considered an asset
- Excellent organizational and time-management skills
- Strong attention to detail and ability to meet deadlines
- Strong written and verbal communication skills
- Ability to work independently and manage multiple priorities
- Strong problem-solving and decision-making abilities
- Ability to handle confidential and sensitive information professionally
- Knowledge of Ontario employment standards and payroll practices is considered an asset

Additional Requirements

- Must be legally authorized to work in Canada
- Must be able to work on-site in Bradford, Ontario
- Successful completion of a Vulnerable Sector Check
- Professional references may be required
- Availability to assist with pre-opening preparation before December 2026

Schedule

The position will generally consist of approximately four hours per day, Monday to Friday. Working hours may be flexible within regular business hours but must be agreed upon in advance based on meetings, resident admissions, payroll deadlines, and operational requirements.

Hours may increase in the future depending on resident occupancy and the needs of the retirement home.
