Job Overview
As the Legal Assistant who is leaving the firm to pursue a new opportunity, I am looking for a Legal Assistant to take my place. You will serve as the first point of contact for clients and visitors and provide exceptional administrative support while helping ensure the smooth operation of the office. This role requires strong organizational skills, typing skills, attention to detail and the ability to manage multiple tasks effectively in a client focused environment. A self-motivated assistant who has the drive to keep things moving throughout the day is ideal. Experience with King’s Bench of Alberta Court filing Protocols, Family Law Protocols, Word suite, Adobe Acrobat and the ability to learn current programs quickly is important. Responsibilities
- Greet clients, visitors, and callers with professionalism and warmth, ensuring excellent phone etiquette and customer service.
- Manage incoming calls, direct inquiries appropriately, and handle appointment scheduling efficiently.
- Maintain accurate legal case management files using document management systems such as Outlook, Adobe Acrobat and Cosmolex.
- Assist with legal research using Westlaw and LexisNexis to support lawyer's case preparation across various practice areas including litigation, patent law, tribal law, and workers’ compensation.
- Draft, proofread, and review legal documents such as contracts, pleadings, memos, and correspondence with attention to detail and clarity.
- Perform data entry, filing,
and document review tasks while ensuring compliance with confidentiality standards.
- Support attorneys with administrative tasks such as transcription, proofreading, organizing files, and managing deadlines.
Requirements
- Proven clerical or administrative experience within a law office or legal environment.
- Familiarity with legal research tools including Westlaw and LexisNexis.
- Experience with legal case management software such as Adobe Acrobat and Cosmolex is highly desirable.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
- Excellent written and verbal communication skills coupled with professional phone etiquette.
- Knowledge of multiple practice areas relating to Family Law and related areas of practice.
- Ability to perform legal research accurately and efficiently; familiarity with legal drafting and document review processes.
- Attention to detail in proofreading and transcription tasks; ability to manage multiple priorities effectively.
