About the Opportunity
Key Instincts is recruiting on behalf of our client, a professional law firm seeking a dependable, organized, and client-focused Receptionist to join their team.
As the first point of contact for clients and visitors, the Receptionist plays an important role in creating a welcoming, respectful, and professional experience. This position is well suited to someone who demonstrates maturity in their judgment and conduct, takes initiative, enjoys staying productive, and is genuinely interested in learning.
The successful candidate will be detail-oriented, focused, self-motivated, and comfortable managing a variety of reception and administrative responsibilities within a confidential professional environment.
Key Responsibilities
- Greet clients, visitors, couriers, and service providers in a skilled and welcoming manner
- Answer, screen, and direct incoming telephone calls and general enquiries
- Assist with basic client enquiries while ensuring legal questions are directed to the appropriate lawyer or team member
- Schedule, confirm, reschedule, and organize client appointments
- Provide approved quotes, estimates, and general service information
- Receive, copy, scan, and securely handle client identification and supporting documentation
- Receive documents, correspondence, deliveries, and payments as required
- Release documents to authorized individuals in accordance with firm procedures
- Maintain accurate records of documents received, released, or picked up
- Take transparent, detailed, and accurate notes during calls and client interactions
- Draft basic letters, emails, and administrative correspondence using Microsoft Word
- Proofread documents for spelling, grammar, formatting, and accuracy
- Organize files, scan documents, photocopy materials, and complete basic data entry
- Monitor and order office supplies as authorized
- Maintain reception, meeting rooms, and common areas in a professional and client-ready condition
- Assist lawyers and administrative staff with general office duties
- Identify productive tasks and remain engaged during quieter periods
- Maintain strict confidentiality regarding all client, legal, and business information

- Has strong verbal and written communication skills
- Has excellent attention to detail and accuracy
- Is focused, organized, and able to manage multiple priorities
- Can take thorough and reliable notes
- Has strong typing skills
- Is proficient in Microsoft Word
- Can draft clear and professional basic correspondence
- Maintains confidentiality and professional boundaries
- Is dependable, punctual, and accountable
- Remains calm and respectful when supporting clients who may be experiencing stressful or sensitive circumstances
Qualifications
- Previous reception,
administrative, customer service, or professional office experience is preferred
- Experience in a law firm, medical office, financial institution, or another confidential work workplace is considered an asset
- Proficiency in Microsoft Word, email, calendars, and general office technology
- Strong spelling, grammar, proofreading, and document-formatting skills
- Ability to work independently and collaboratively
- Ability to manage sensitive information with discretion

Pay: $21.00-$24.00 per hour
