Hugh Garner Housing Co-operative is accepting resumes to fill a temporary, part time position as a Capital Projects Assistant in Downtown Toronto. Flexible schedule, as needed onsite. Occasional evening work may be required. This position reports to the Coordinator.

The ideal candidate will have a background in Engineering, and have worked in construction or property management. They think outside the box, are able to work collaboratively, and thrive on making order out of chaos. They appreciate the importance of building up-keep and how that can impact a co-operative housing community.

Primary Job Duties:

The primary function of this role is to co-ordinate all the building’s capital repairs projects, including:

· Get proposals from consultants or contractors for each project

· Partner with the Coordinator to analyze proposals and prepare reports for the board of directors

· Liaise with consultants/contractors throughout the project planning and construction

· Use due diligence to ensure that contracts and/or agreements between the Co-operative and any supplier or service contractor are performed in accordance with the stated agreements.

· Review draft drawings, specifications, scopes of work and provide comments to the author and a summary for other staff and the board of directors

· Monitor construction and maintain open channels of communication with consultants and contractors





· Answer questions from staff and members regarding project details

· Prepare draft notices for members of planned disruptions during construction

· Advise on change orders during construction and facilitate prompt board approval

· Troubleshoot problems which may occur with contractors and vendors

· Work closely with the Coordinator on the day to day facilitation of capital work as needed.

Other Duties As Required:

· Background reading on the co-op’s current budgets and capital repairs activities, as well as previous information such as building condition assessments, technical reports, and other information

· Collaboration with other staff as appropriate on all activities

· Prepare draft annual capital budget and notes based on BCA projections, recent capital expenditures, co-op’s current budget and spending year-to-date, estimates received.

· Prepare five-year projections for capital repairs priorities – review written reports from consultants, maintenance and repair logs, cost estimates and tendered prices, all of which may affect the timing and cost of repairs. Prepare questions to get input from staff, board and finance committee on the timing and priority for repairs.





· Prepare financing applications for capital work based on co-op’s capital plan.

· Maintain a capital repairs task list for each board meeting – this includes list of projects showing current status, next steps, items requiring board approval and additional notes

· Prepare supplementary reports, FAQ documents and presentation slides in clear language about specific projects or issues

· Develop tender packages and receive tenders, as required for snow removal, landscaping, maintenance of mechanical and electrical systems, fire and life safety systems and any other services that are required to meet appropriate industry standards for corrective and preventative maintenance systems, subject to the approval of the board of directors.

· Prepare scopes of work, tender packages, cost estimates, contractor supervision, and project closeout procedures for remedial and/or reserve fund capital projects not assigned by the board of directors to a technical consultant.

Qualifications:

· The ideal candidate will have worked on medium scale projects in residential high rise buildings

· You must have at least 2 years of relevant post-secondary education.

· A minimum of 4 years of relevant work experience in construction or property management

· Experience in the non-profit sector or public sector such as schools or hospitals would be an asset.

Hourly rate is based on experience.
