Position Summary:

The Conference Services Attendant is responsible for the accurate, secure, and timely setup, refresh, service support, and teardown of meeting rooms, conferences, corporate events, and social functions, including lunches, receptions, and dinners, throughout the Centre. This role ensures all event spaces are clean, organized, and guest-ready while delivering exceptional service by responding promptly and professionally to guest requests. The Conference Services Attendant completes all assigned duties in accordance with Conference Event Orders (CEOs), departmental standards, operational checklists, safety procedures, and the direction of Conference Services leadership to ensure a seamless and exceptional guest experience.

Essential Duties and Responsibilities:

- Complete the physical setup of meeting rooms, conference spaces, private and social functions, private dining rooms, ballroom events, foyers, public areas and approved outdoor event spaces as assigned.
- Set tables, chairs, linens and meeting supplies, including pads, pens, flipcharts, coasters, fresh water, clean glassware in accordance with the current Conference Event Order (CEO) and room layout. Confirm the required AV equipment is present.
- Tear down function rooms promptly and safely, remove equipment and supplies, return items in their designated storage locations, and prepare spaced for the next scheduled use.
- Refresh meeting rooms during coffee breaks, lunch and dinner periods, as directed. Remove used glasses, plates, silverware, food and waste; replenish approved supplies; and leave the room neat, clean and guest-ready.
- Remain visible, available, courteous and helpful on the floor. Respond to guest, sales and planner requests promptly within the role’s authority and refer changes, concerns or service-recovery matter to the Supervisor.
- Vacuum meeting rooms and breakout spaces; remove debris; dust surfaces, ledges, chair and table legs,



cupboards and meeting room supply kits; and complete deeper cleaning tasks as assigned.
- Remove unnecessary or access equipment and supplies from meeting rooms. Do not store extra pads, pens, flipcharts or other unapproved items in event spaces.
- Organize storage rooms, stock carts and supplies, return borrowed or used equipment to its proper location, and report low stock, missing equipment or anticipated shortages early enough for corrective action.
- Report damaged, broken, missing or deficient furnishing, equipment, supplies or facility conditions to the Supervisor and or Manager and follow established reporting process.
- Review assigned CEO, room diagrams, change information and daily priorities. Communicate task completion, delays, discrepancies, guest requests and changed to the Supervisor, Manager and appropriate team members.
- Assist with room changes, last minute operational adjustments and additional meeting room or evet space setups as assigned, while protecting service quality and following safe work practices.
- Maintain working knowledge of the Conference Services Manual and comply with departmental SOPs, checklists, emergency procedures, WHMIS requirements, health and safety standards and property policies.
- Perform other duties assigned by the Conference & Event Services Manager, Supervisor or Department Head to support guests, events, the department and the Centre.

Specifications/Qualifications:

- Previous experience in hospitality, a conference centre, hotel, banquet facility, event venue or a comparable service environment is preferred.




- Working knowledge of WHMIS and occupational health and safety practices is an asset; required training must be completed as assigned.
- Able to lift heavy tables (76Lbs - 100Lbs) with no restrictions.
- Good communication skills

Conference Service Attendants Working Conditions:

Duties are primarily contained inside the building with some need to perform set-ups in outdoor areas around the Centre.

The Conference Service Attendant is required to work varied shifts based on business needs, including early mornings, daytime and evening hours, late evenings, weekdays, weekends and holidays.

Physical Efforts:

- Heavy lifting of table and chairs
- Stretching, kneeling and bending during set ups
- Contact with light cleaning substance
- This position can be “busy or active” during peak business periods.
- Last minute demands can be stressful at times.
