Status: Temporary Full-Time up to three (3) months

Hourly Base Rate: $29.65

Hours of Work: Monday to Friday, 9:00 am to 5:00 pm

Overview:

Reporting to the Manager of Training and Education and up to the President, the Training Office Assistant (OA) position is responsible for supporting member facing training courses and training reimbursements for the organization.

The following job duties and responsibilities are illustrative examples of the position and shall not be construed as a detailed description of all the work requirements that may be inherent in the job.

Duties and Responsibilities:

- Supports the planning, scheduling, and delivery of training programs in collaboration with departments and administration.
- Supports Union training activities, including course setup, database maintenance, and course records management.
- Assists with the coordination of travel itineraries as required.
- Supports training registrations and related transactions, including payments, refunds, and cancellations.
- Maintain current knowledge of industry-related training and certification requirements to support program delivery.
- Respond to training-related inquiries in a timely and professional manner.
- Process training reimbursement submissions ensuring attention is paid to completeness and eligibility.
- Process BCMPTS bursaries as required.
- Register eligible individuals in IATSE VOLT and assist with generating related reports.
- Perform other related duties as assigned.

Qualifications, Skills and Abilities:

- Minimum of a Grade 12 education or High School Diploma
- At least one year of experience in an administrative, customer service, or office support role.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.




- Ability to prepare professional correspondence, meeting materials, agendas, and communications with accuracy and attention to detail.
- Strong organizational, time-management, and prioritization skills.
- Excellent verbal and written communication skills.
- Demonstrated ability to muli-task, meet deadlines, and maintain accuracy in a fast paced setting.
- Ability to handle confidential information with discretion and sound judgment.
- Ability to work independently while contributing effectively as part of a collaborative team.
- Experience with Zoom, SendBlaster, Digify, or similar meeting and document-management platforms is an asset.

Testing/examinations may be administered to corroborate skills and qualifications. This is a Unifor bargaining unit position.
