Job Overview

Cana Packing is a growing food manufacturing company based in Dartmouth, Nova Scotia, and Atlantic Canada’s only industrial-scale dry ingredient blending facility.

We are seeking a dependable, organized, and detail-oriented Administrative Assistant to support our office, customer service, quality, and production teams. This is a hands-on role that combines traditional administrative duties with responsibilities specific to food manufacturing, including preparing Certificates of Analysis, coordinating product samples, supporting basic bake testing, and maintaining accurate customer and production records.

The successful candidate will be comfortable working in a fast-paced workplace, communicating with customers and suppliers, learning new systems, and taking ownership of a wide range of daily tasks.

Responsibilities

- Manage front desk operations, including greeting visitors, answering phones, and directing inquiries to the appropriate team member.
- Provide professional and timely support to customers, suppliers, delivery drivers, and visitors.
- Prepare and issue Certificates of Analysis for customer orders.
- Assist with basic bake testing, product evaluations, and recording test results using light laboratory or quality-testing equipment.
- Coordinate customer sample requests, including preparing paperwork, arranging shipments, and tracking deliveries.
- Prepare quotes for contractors.
- Organize and maintain accurate physical and electronic filing systems.
- Assist with data entry and the maintenance of customer, product, production, and quality records.
- Support shipping and receiving activities, including preparing courier shipments, receiving packages, and maintaining delivery records.
- Take meeting notes and assist with preparing follow-up documents and action items.
- Coordinate appointments, calendars, meetings, and facility visits.
- Assist with creating and updating documents, spreadsheets, presentations, labels, and internal forms for production,



QA, and Food Safety.
- Support communication between the office, production, quality, research and development, sales, and warehouse teams.
- Maintain confidentiality when handling customer formulas, pricing, specifications, and company information.
- Assist with general office organization and other administrative duties as required.
- Take on additional responsibilities as the role develops and new needs are identified within the company.

Qualifications

- Previous administrative, clerical, office, or customer service experience.
- Strong organizational skills and excellent attention to detail.
- Proficiency with Microsoft 365, including Word, Excel, Outlook, and PowerPoint.
- Strong computer and data-entry skills with a high level of accuracy.
- Transparent and professional written and verbal communication skills.
- Fluency in English.
- Ability to proofread documents and identify errors or missing information.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Comfortable working independently and as part of a team.
- Willingness to learn new tasks and support different departments when required.
- Experience in food manufacturing, quality assurance, shipping, receiving, or production administration is considered an asset.
- Experience preparing Certificates of Analysis or working with product specifications is considered an asset.
- An interest in baking, food products, or product testing is considered an asset.

Pay: $18.00-$22.00 per hour
