Job Title: Administrative Assistant – Junior
Location: Calgary, Alberta (Hybrid) T2N 3P7
Work Arrangement: Hybrid (Up to 3–4 days onsite per week)
Contract Duration: September 1, 2026 – March 31, 2027 (6+ Months)
Schedule: Monday–Friday, 8:15 AM – 4:30 PM (Alberta Time)

Position Overview
We are seeking a detail-oriented Junior Administrative Assistant to provide administrative and operational support for the client. This role is ideal for candidates with strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will support daily office operations, document management, records maintenance, and administrative processes while ensuring confidentiality and accuracy.
Key Responsibilities
- Provide administrative support to program staff and management.
- Receive, sort, distribute, and process incoming and outgoing mail and correspondence.
- Scan, file, route, and maintain electronic and physical documents.
- Maintain accurate records and ensure documentation is stored according to established procedures.
- Support document management activities, including tracking, reviewing, and preparing documents for approval and signatures.
- Perform data entry and maintain electronic document management systems.
- Monitor and replenish office supplies, forms, and administrative resources.
- Coordinate inter-office mail and courier services.
- Respond to routine inquiries and direct requests to the appropriate departments.
- Assist with administrative processes related to program applications, verification activities, and client documentation.
- Handle confidential and sensitive information with professionalism and discretion.
- Support special projects and perform additional administrative duties as assigned.
Qualifications
- High School Diploma or GED.
- Minimum 1 year of experience in an administrative, customer service, or retail environment.
- Experience working in a fast-paced setting with the ability to prioritize multiple tasks.
- Strong analytical, organizational, and problem-solving skills.
- High level of accuracy and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite and electronic document management systems.
- Ability to work independently and collaboratively within a team.
