We are currently seeking a skilled Administrative & Program Coordinator to join our dynamic team. This is a full-time, fixed-term contract position in Fredericton, NB.
Objective:
The Administrative & Program Coordinator will serve as the primary point of contact for Planet Hatch, ensuring that administrative tasks, facility operations, and program support run smoothly. You will support our team, members, clients, and visitors while playing a key role in creating a positive, welcoming, and efficient Planet Hatch experience.
Duties & Responsibilities:
- Act as the first point of contact for members, visitors, clients, and community stakeholders by providing professional and courteous assistance via phone, email, and in person.
- Assist the Planet Hatch team and management with administrative tasks, data collection, reporting, meeting preparation, inventory management, and general office support.
- Support program logistics and operations, including preparing materials and coordinating the details required for programs, meetings, and events.
- Support staff, clients, and members with technology setup and daily technology management, including maintaining technology-related inventory.
- Support the planning and execution of events, including setup, registration, logistics, catering coordination, and ensuring the facility is ready for activities.
- Assist with the day-to-day maintenance and management of the facility, including room bookings, upkeep of the space, and monitoring food, coffee, and beverage supplies.
- Support space management and interact with Planet Hatch members regarding activities and needs relating to the space.
- Assist with member attraction, onboarding, retention initiatives, and offboarding, contributing to overall membership growth and retention goals.
- Assist with entrepreneurial services and other program-related activities on an as-needed basis.
- Maintain and update event information, including member calendars and event displays.
- Administer surveys, distribute feedback requests, support results reporting, and provide input on opportunities to improve member satisfaction and space usability.
- Assist with space enhancements, improvements, and redesign initiatives as required.
- Support the development and execution of marketing campaigns, communications, and event promotions.
- Participate in weekly team meetings and contribute to team initiatives and organizational goals.
- Support the development and execution of annual plans, reporting, and other organizational initiatives as required.
- Other duties as required.
Qualifications:
- Post-secondary education in business administration, office administration, communications, or a related field.
- Prior administrative, customer service, program coordination, or related experience is considered an asset.
- Self-motivated with the ability to independently manage workload and priorities.
- Dependable, approachable, and customer-service oriented.
- Goal-oriented with strong attention to detail.
- Excellent administrative skills, with the ability to analyze and revise operating practices to improve efficiency.
- Proficiency in Microsoft Office.
- Ability to work well under pressure and manage competing deadlines while maintaining accuracy and efficiency.
- Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks.
- Excellent verbal and written communication skills.
- Ability to present oneself in a confident and professional manner.
- Ability to think creatively and resourcefully.
- Positive energy,
resourcefulness, and a willingness to go above and beyond.
- Creative, efficient, organized, adaptable, and resourceful in a fast-paced environment.
- Bilingual skills are considered an asset.
- Ability to work irregular hours on occasion to support events and programming.
