Position Overview

Steamatic Edmonton is looking for a highly organized and detail-oriented Assistant Project Manager to support our Project Management team.

In this role, you will help coordinate restoration projects from initial setup through completion. You will manage project documentation, monitor important deadlines, support communication between all parties involved, and help ensure that every file is handled accurately, professionally, and efficiently.

What You’ll Do

- Support Project Managers throughout the complete project lifecycle, from initial setup to project closeout.
- Prepare, review, organize, and upload project documentation, including authorizations, certificates, scopes of work, budgets, estimates, reports, and supporting documents.
- Maintain explicit and professional communication with clients, insurance representatives, vendors, subcontractors, and team members.
- Track project progress, schedules, deadlines, changes, approvals, and outstanding requirements.
- Maintain accurate, complete, and well-organized electronic and physical project files.
- Draft and edit professional correspondence, including emails, letters, reports, memos, and project updates.
- Assist with invoicing and review documentation to help ensure accuracy and compliance with client and insurer requirements.
- Coordinate appointments, inspections, site visits, and follow-ups as required.
- Help assemble and submit final project documentation and closeout packages.




- Support health and safety reporting, documentation, and internal procedures.
- Follow up proactively on missing information and outstanding action items.
- Perform other reasonable administrative and project coordination duties as assigned.

What You Bring
- Previous experience in office administration, project coordination, construction administration, or a similar support role.
- High school diploma or equivalent; post-secondary education in administration, construction, business, or project management is considered an asset.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Strong organizational and time-management skills.
- The ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Excellent attention to detail and a commitment to maintaining accurate records.
- Strong written and verbal communication skills.
- A professional, service-oriented approach when working with clients and business partners.
- The ability to work independently while contributing positively to a collaborative team.
- Sound judgment and discretion when handling confidential client, insurance, and project information.

Nice to Have
- One or more years of experience in an administrative or project coordination position.
- Experience in the property restoration, construction, insurance, or property management industry.
- Familiarity with restoration project documentation and insurance-related processes.
- Experience using Xactimate, XactAnalysis, or restoration management software.
- Knowledge of water, fire, mould, or disaster restoration services.
- A valid driver’s licence and reliable transportation.





Working Conditions Due to the emergency nature of the restoration industry, occasional flexibility may be required to support urgent projects, changing priorities, or communication outside regular business hours.

The position involves extended periods of computer work, frequent communication by telephone and email, and a high level of attention to detail. Occasional travel to project sites or other local locations may also be required.
