Hicks LeMoine Law is a professional and client-focused law firm seeking a highly organized and motivated Receptionist / Paralegal to join our growing team. This position combines front-office reception duties with administrative and paralegal support responsibilities. The successful candidate will play a key role in ensuring efficient office operations while providing exceptional service to clients.
Key Responsibilities
Reception & Administrative Duties
- Greet clients and visitors in a professional and welcoming manner.
- Answer, screen, and direct incoming telephone calls and emails.
- Schedule appointments/meetings
- Maintain client files, records, and office databases.
- Process incoming and outgoing mail and courier deliveries.
- Manage office supplies and assist with general office administration.
- Handle confidential information with discretion and professionalism.
Paralegal Support Duties
- Draft and prepare legal correspondence, forms, and basic legal documents.
- Assist lawyers with file management and case preparation.
- Organize and maintain physical and electronic legal files.
- Prepare client intake forms and gather supporting documentation.
- Coordinate document execution, filing, and service of legal documents.
- Track deadlines and maintain lawyer calendars.
- Liaise with clients, courts, government agencies,
and third parties as required.
Qualifications
- Diploma or certificate in Legal Administration, Paralegal Studies, Office Administration, or a related field preferred.
- Minimum 3-5 years of experience in a legal office, administrative, or receptionist role.
- Strong knowledge of Microsoft Office (Word, Outlook, Excel) and legal practice management software.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced setting.
- Professional demeanor and strong client-service orientation.
- Bilingualism (English/French) is required
