Position Summary The Bookkeeper will manage daily bookkeeping functions for Bison Books and its clients, including accounts payable and receivable, payroll-related transactions, bank reconciliations, general ledger maintenance, and financial record management.

This role requires strong attention to detail, accuracy, confidentiality, and the ability to manage multiple client accounts while working independently and meeting established deadlines.

Key ResponsibilitiesBookkeeping and Financial Records

- Perform daily bookkeeping activities, including recording financial transactions, maintaining general ledger accounts, and ensuring accurate financial documentation.
- Manage accounts payable and accounts receivable processes, including invoice processing, payment tracking, collections, and vendor account management.
- Process receipts, deposits, payments, and other financial transactions accurately and in a timely manner.
- Maintain organized financial records and ensure the proper categorization of expenses, income, assets, and liabilities.
- Manage bookkeeping records for multiple clients while ensuring information is accurately separated, documented, and maintained.
- Communicate with clients to obtain missing documents, clarify transactions, and resolve bookkeeping discrepancies.

Payroll Support
- Assist with payroll processing, including reviewing payroll-related transactions and maintaining payroll records.
- Support employee expense reimbursement processes and ensure appropriate documentation is received.
- Coordinate with clients and internal team members to ensure payroll information is complete and accurate.
- Assist with maintaining records related to employee earnings, deductions, benefits, vacation pay, and payroll remittances.
- Support the preparation of payroll reports and year-end payroll documentation as required.

Financial Reporting and Reconciliation
- Prepare financial reports, including profit and loss statements, balance sheets, cash flow reports, and accounts receivable and payable summaries.
- Perform monthly bank and credit card reconciliations and investigate discrepancies as required.




- Assist with month-end and year-end closing procedures.
- Prepare organized bookkeeping records and supporting documentation for accountants, tax professionals, and external auditors.
- Support financial audits and reviews by maintaining complete and accurate records.
- Monitor cash flow and assist clients with budgeting and forecasting activities.
- Identify unusual transactions, outstanding balances, or financial discrepancies and communicate them to the appropriate client or supervisor.

Compliance and Process Improvement
- Ensure bookkeeping practices comply with applicable accounting standards, government requirements, client agreements, and internal policies.
- Assist with maintaining records related to GST/HST, payroll remittances, and other applicable government reporting requirements.
- Maintain strict confidentiality when handling client, employee, payroll, and financial information.
- Stay updated on bookkeeping practices, payroll requirements, accounting software, and relevant regulations.
- Identify opportunities to improve bookkeeping processes, client communication, reporting procedures, and record-keeping efficiency.
- Follow internal quality-control procedures to ensure all client accounts are accurate and current.

Software and Administration
- Utilize accounting and productivity software, including QuickBooks Online and Desktop, Google Workspace, Microsoft Office, and other bookkeeping or payroll platforms.
- Maintain accurate digital filing systems and ensure financial documents are appropriately named, organized, and stored.
- Manage financial documentation received through email, cloud storage, client portals, and other approved communication channels.
- Track outstanding client documents, bookkeeping tasks, filing deadlines, and follow-up requirements.
- Assist with administrative duties related to client onboarding, account setup, and financial document collection.

Qualifications and Requirements
- Post-secondary certificate, diploma, or equivalent education in Accounting, Finance, Payroll, Business Administration, or a related field is preferred.
- Minimum one year of experience in bookkeeping, accounting, payroll support, or a similar role.




- Experience working with small and medium-sized business accounting and payroll processes is preferred.
- Experience managing bookkeeping records for multiple companies or clients is an asset.
- Strong knowledge of QuickBooks Online, QuickBooks Desktop, and other accounting software.
- QuickBooks certification or relevant bookkeeping certification is considered an asset.
- Experience with payroll software and payroll processing is an asset.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Proficiency with Google Workspace, including Google Sheets, Docs, Drive, and Gmail.
- Strong understanding of bookkeeping principles, account reconciliations, general ledger maintenance, and financial reporting.
- Familiarity with GST/HST, payroll deductions, government remittances, and year-end bookkeeping requirements is preferred.
- Robust organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
- Ability to manage multiple client accounts and maintain accuracy across different businesses.
- Ability to work independently with minimal supervision in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and professionalism when handling sensitive client and financial information.
- Reliable internet access and an appropriate professional workspace may be required for remote or hybrid work arrangements.
