Role Overview
We are seeking a proactive, detail-oriented Client Intake & Marketing Coordinator to join our Sales Team at our Richmond office.
This role serves as the first point of contact for prospective clients and plays a key role in creating a positive client experience from the initial inquiry through the client intake process. This position is responsible for engaging with prospective clients, understanding their immigration goals, conducting initial client intake, and guiding them through the Company's consultation process.
The Coordinator follows up with prospective clients, answers general service inquiries, identifies client needs, and works collaboratively with the Sales Team and licensed immigration consultants to coordinate the next steps in the client journey. A key responsibility of this role is to build trust with prospective clients, maintain ongoing communication, and assist prospective clients in making informed decisions and completing the consultation agreement to become a client.
This role is ideal for someone who enjoys building relationships, communicating with people from diverse backgrounds, and delivering exceptional customer service in a fast-paced skilled environment.
Key Responsibilities:
Client Intake & Engagement
- Serve as the first point of contact for prospective clients through phone, email, website inquiries, social media, referrals, and other communication channels.
- Build rapport with prospective clients by understanding their immigration goals and providing exceptional customer service.
- Conduct initial client intake to gather relevant background information and assess client needs.
- Explain the Company's services, consultation process, required documents, and next steps (non-legal information only).
- Qualify prospective clients and coordinate consultations with the Sales Team or licensed immigration consultants, as appropriate.
- Ensure prospective clients receive timely responses and a positive client experience throughout the inquiry process.
Client Relationship Management & Follow-up
- Maintain regular communication with prospective clients through phone, email, messaging platforms, and CRM follow-up activities.
- Follow up with inquiries, consultation bookings, and inactive leads to encourage continued engagement.
- Build trust and long-term relationships with prospective clients through professional, timely, and responsive communication.
- Guide prospective clients through the service process and assist them in completing service agreements.
- Maintain accurate records of all communications, follow-up activities, and client interactions in the CRM system.
Sales Team Support
- Work collaboratively with the Sales Team to support consultation bookings and client onboarding.
- Monitor lead pipelines and ensure timely follow-up on assigned prospects.
- Assist in achieving consultation booking and client conversion objectives.
- Identify opportunities to reconnect with previous inquiries and referral sources.
- Prepare lead activity reports and update client engagement status for management.
Business Marketing & Development Support
- Participate in company seminars, webinars, networking events, and community outreach activities to engage prospective clients.
- Coordinate with the marketing team regarding lead quality, promotional campaigns, and client feedback.
- Identify opportunities to improve the client experience and increase lead conversion.
- Contribute ideas to strengthen client engagement and business development initiatives.
Other Duties
- Participate in ongoing training regarding Canadian immigration programs, company services, CRM systems, and customer service standards.
- Maintain confidentiality of client information and comply with company policies and privacy requirements.
- Perform other duties as assigned.

Qualifications:
· Fluency in English (spoken and written) is required.
· Bilingual in English and Mandarin is required.
· Must be legally eligible to work in Canada (Canadian Citizen, Permanent Resident, or holder of a valid Work Permit).
· Minimum 2 years of experience in customer service, client relations, business development, sales support, admissions, hospitality, banking, or a similar client-facing role. Experience in immigration, education, or professional services is an asset.
· Demonstrated ability to build relationships and communicate effectively with clients from diverse cultural backgrounds.
· Strong organizational and multitasking skills with excellent attention to detail.
· Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and experience using CRM software is an asset.
· Skilled appearance, positive attitude, and commitment to delivering exceptional client service.
· Ability to work collaboratively in a team environment while taking initiative and working independently.
