Elections Tabulation Officer The Tabulation Officer is responsible for supporting the administration of the Municipal and School Board Election by overseeing the tabulation of paper ballots using vote tabulators and ensuring ballots are processed, counted, and secured in accordance with the Municipal Elections Act and established election procedures. Reporting to the Returning Officer or designate, the position plays a critical role in maintaining the accuracy, integrity, confidentiality, and security of the vote-counting process.

The Tabulation Officer assists electors in submitting ballots through the vote tabulator, monitors tabulator operations, responds to rejected ballots in accordance with approved procedures, and maintains ballot accountability throughout the voting period. The position ensures that election results are generated accurately and that all voting records, ballots, and tabulation equipment are managed securely.

The Tabulation

Officer provides professional, impartial service while contributing to a fair, transparent, and accessible election process.

Duties and Responsibilities

- Operate and monitor the vote tabulator throughout the voting period to ensure ballots are processed and counted in accordance with established election procedures.
- Receive ballots from electors and verify that ballots contain the required initials before they are inserted into the tabulator.
- Assist electors with inserting ballots into the vote tabulator while maintaining ballot secrecy and ensuring compliance with voting procedures.
- Respond to tabulator messages and rejected ballots in accordance with approved election procedures and provide information to electors regarding available options.
- Maintain custody, security, and accountability of ballots, ballot boxes, vote tabulators, memory devices,



and related election materials assigned to the tabulation area.
- Monitor the tabulator for operational issues and promptly report equipment malfunctions, ballot jams, error messages, or other technical concerns to the Returning Officer or designate.
- Reconcile ballot counts, spoiled ballots, rejected ballots, and other voting records to ensure accurate ballot accountability throughout the voting period.
- Ensure election records, reports, tabulator tapes, and reconciliation documentation are completed accurately and submitted as required.
- Participate in opening and closing procedures for the vote tabulator, including testing, securing equipment, printing reports, and documenting results as directed.
- Provide courteous, skilled, and impartial assistance to electors while maintaining confidentiality and protecting the secrecy of the ballot.
- Report voting irregularities, security concerns, ballot discrepancies, voter complaints, or issues affecting election integrity to the Returning Officer or designate.

Qualifications:
- High School Diploma (Grade 12) or equivalent
- Experience providing customer service and dealing with members of the public in a professional and respectful manner.

- Experience handling records, forms, inventory, or other duties requiring accuracy, accountability, and attention to detail.

- Previous election experience or experience working with confidential information is considered an asset.

- Ability to understand and follow detailed election procedures,



operating instructions, and directives provided by the Returning Officer or designate.
- Strong attention to detail and accuracy when processing ballots, maintaining ballot accountability, reconciling counts, and completing election documentation.
- Ability to learn and operate vote tabulators and related election equipment.
- Strong customer service and communication skills with the ability to explain procedures clearly and assist electors in a professional and impartial manner.
- Ability to remain calm and exercise sound judgment when responding to equipment issues, voter concerns, or operational challenges.
- Ability to maintain confidentiality and safeguard election information, ballots, and records.
- Ability to work independently and as part of a team in a fast-paced environment.
- Basic computer skills and comfort working with electronic equipment and reporting systems.

Compensation: The current pay for this position is $30.00 per hour. Interested individuals are asked to forward their resume and cover letter no later than 4:30 p.m. on August 16, 2026 to the Human Resources Department by applying through ADP.
