Job Summary The Conference Coordinator plays a key role in planning, organizing, and executing the annual online LINC EAL literacy conference, put on by the Literacy Centre of Expertise at The Immigrant Education Society (TIES). This includes managing logistics, liaising with the conference platform, recruiting presenters, keynote speakers, and volunteer facilitators, providing training for volunteers and presenters, promoting the event online, and supporting post-conference evaluation and data collection. This year's conference will take place in January.
Key Responsibilities
Conference Planning & Logistics
- Coordinate all aspects of the annual online LINC EAL literacy conference.
- Research, recommend, and liaise with the online conference platform provider.
- Manage scheduling, registration, and technical setup.
- Support presenters with preparation and tech checks.
- Recruit presenters, keynote speakers, and volunteer session facilitators.
- Provide training for volunteers and technical training for presenters.
Promotion & Communication
- Use provided templates to create and schedule social media posts.
- Coordinate online promotion and outreach to sector partners.
- Draft and send communications to registrants, presenters, and stakeholders.
Collaboration
- Work under the guidance of the Literacy Centre of Expertise Lead.
- Liaise with the Senior LINC Management and other team members on conference progress.
- Provide regular updates on planning milestones and needs.
Administration & Reporting
- Track hours and project progress within the 100-hour contract.
- Maintain records of conference logistics and promotional activities.
- Support post-conference evaluation and reporting, including data collection from attendees, presenters, and volunteers.
Qualifications:
- Experience coordinating online conferences or virtual events.
- Skills in Pheedloop administration is preferred
- Solid social media skills and experience using templates to create posts.
- Experience recruiting, training, and supporting volunteers.
- Experience providing technical support or training for presenters.
- Familiarity with the LINC EAL literacy sector is an asset.
- Strong organizational and communication skills.
- Ability to work independently and manage a project within a defined contract timeframe.
