Job Summary

We are seeking an energetic and detail-oriented Human Resources Administrator to join our agile team. In this vital role, you will manage a wide range of HR functions, ensuring smooth operations and fostering a positive workplace environment. Your expertise in HRIS systems, talent acquisition, employee relations, and project management will drive our HR initiatives forward, supporting our company's growth and success.

Key Responsibilities

Recruitment & Talent Acquisition

- Assist with the full-cycle recruitment process.
- Review resumes and conduct initial candidate pre-screening interviews.
- Coordinate interviews between hiring managers and candidates.
- Prepare interview schedules and recruitment documentation.
- Conduct reference checks and background screening, as required.
- Prepare employment offers and other recruitment correspondence.
- Maintain candidate records within the Applicant Tracking System (ATS) or HRIS.
- Support recruitment initiatives including job fairs, career events, and social media recruitment.

Onboarding & Offboarding
- Coordinate new hire onboarding activities.
- Prepare employment packages and onboarding documentation.
- Ensure all pre-employment requirements are completed.
- Enter new employee information into the HRIS.
- Schedule orientation sessions and required training.
- Coordinate equipment requests and system access with internal departments.
- Process employee terminations and ensure accurate completion of offboarding documentation.
- Assist with exit interviews and maintain related records.

HR Administration




- Maintain accurate employee files in both electronic and paper formats.
- Perform data entry and maintain employee information within the HRIS.
- Process employee status changes including promotions, transfers, salary changes, and leaves of absence.
- Generate HR reports and assist with workforce metrics.
- Ensure employee records remain accurate, complete, and confidential.
- Support HR compliance by maintaining required documentation.

HRIS & Data Management
- Enter, update, and audit employee information within the HRIS.
- Verify the accuracy and integrity of HR data.
- Assist with HRIS testing, upgrades, and process improvements.
- Generate regular and ad hoc reports for management.
- Maintain electronic filing systems and document retention practices.

Employee Support
- Serve as a first point of contact for general HR inquiries.
- Assist employees with HR forms, policies, and procedures.
- Support employee engagement initiatives and company events.
- Assist with benefits administration and enrollment, where applicable.
- Coordinate employee recognition and wellness initiatives.

Compliance & Administration
- Ensure compliance with employment standards, company policies, and applicable legislation.
- Maintain confidentiality of employee information.
- Assist with audits and regulatory reporting.
- Support policy updates and HR documentation.
- Perform other administrative duties as assigned.

Qualifications

Education

- Diploma or Bachelor's degree in Human Resources, Business Administration,



or a related field would be an asset.
- CPHR designation or working toward a CPHR designation is considered an asset.

Experience
- 1–3 years of experience in Human Resources or an administrative role.
- Experience supporting recruitment and onboarding processes.
- Experience working with Human Resource Information Systems (HRIS).
- Experience in a fast-paced environment is considered an asset.

Knowledge, Skills & Abilities
- Strong understanding of HR principles and employment legislation.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Experience with HRIS platforms (e.g., UKG, BambooHR, Dayforce, ADP, Workday, SAP SuccessFactors, or similar).
- Ability to prioritize multiple tasks and meet deadlines.
- Strong problem-solving and critical thinking skills.
- Ability to work independently and collaboratively within a team.

Working Conditions

- Primarily office-based with occasional travel to company worksites or recruiting events.
- Standard business hours with occasional flexibility to support recruitment events or operational needs.
- Frequent computer use and extended periods of sitting.
