Reports to: Founder / RCIC
Type: Part-time contractor to start (pilot basis); fully remote, candidate based outside Canada
Language requirement: Fluent Spanish and English required — non-negotiable (majority of client base is Latin American/Spanish-speaking)
Role Summary
Support a busy RCIC practice by managing client file logistics, communications, document flow, and Canadian immigration form preparation — freeing the consultant to focus on client appointments, strategy, and business development. This is a case coordination role, not a licensed advisory position: no legal advice, strategy decisions, or representation is given independently. Forms are prepared for RCIC review and sign-off before submission.
Who We're Looking For
This posting is for candidates based outside Canada. Remote immigration support staff located internationally — including former staff of other Canada-focused consultancies — often bring solid PNP/Express Entry form experience at a more competitive rate than Canada-based hires. Open to any of the following:
- Experienced immigration legal assistants / case coordinators with a track record on Canadian PR and PNP forms
- RCIC candidates or licensing students seeking real casework exposure under a licensed consultant while studying
- Licensed RCICs looking for flexible remote coordination-style work (within the coordinator scope, not client representation)
Core Responsibilities
- Fill out federal and provincial immigration forms — Express Entry profiles, PNP/SINP application forms and schedules, PR application packages (IMM series) — from client-provided data, for RCIC review before submission
- Track and follow up on document collection from clients (IDs, forms,
supporting evidence)
- Monitor case status across active files (Express Entry, SINP, PGWP/BOWP, sponsorship, etc.) and flag deadlines
- Maintain and update case boards in Asana (stream-organized project tracking)
- Client scheduling and calendar coordination
- Draft routine status-update communications for RCIC review/approval
- Organize documents in Google Workspace/Sync
- Light DocuSign envelope prep and tracking
- Liaise with existing team (documents/file coordinator and client communications contractor)
Must-Haves
- Fluent, professional-level Spanish and English (written and spoken) — required
- Working knowledge of Canadian permanent residence pathways — specifically Express Entry (CRS, program eligibility) and Provincial Nominee Programs (PNP/SINP forms and process)
- Comfortable and accurate filling out government/legal immigration forms, high attention to detail
- Solid organizational skills, comfortable owning multiple concurrent files
- Experience with Asana or similar project management tools
- Discretion with sensitive personal/immigration information
- Reliable remote work setup with overlapping availability with Toronto business hours (EST)
Nice-to-Haves
- Prior experience in an immigration consulting or law office
- Familiarity with other PNP streams beyond SINP (Alberta AOS, Ontario) and family/sponsorship class
- Experience with DocuSign, Google Workspace
What This Role Is Not
- Not authorized to give immigration advice, determine strategy, or represent clients before IRCC/PNP independently — even licensed RCIC applicants would work in a coordination capacity here, not as the client's representative of record
- Not a full mentorship/training program on its own for licensing-track candidates — mentorship is a side benefit, not a substitute for formal coursework
