About The Role Reporting to the Comptroller, the Insurance and Fleet Coordinator ("Coordinator) is responsible for coordinating insurance administration and fleet management activities for 'Namgis First Nation.
The coordinator maintains insurance records, tracks Nation assets, coordinates policy renewals, assists with claims administration, and oversees vehicle and equipment records. The position works closely with all departments to ensure assets remain appropriately insured and fleet records are accurate and up to date.
Key Responsibilities: Insurance Coordination
- Maintain records for all Nation insurance policies.
- Coordinate the addition, removal, and updating of insured vehicles, equipment, buildings, housing units, and other assets.
- Act as the primary contact with insurance brokers and providers for routine administrative matters.
- Coordinate annual insurance renewals and assist with gathering required information.
- Maintain insurance certificates and policy documentation.
- Assist departments with insurance-related inquiries and documentation requirements.
- Track insurance claims and maintain claim records.
- Ensure insurance information is current and accurately recorded.
Fleet Administration
- Maintain an inventory of Nation-owned vehicles, equipment, trailers, and other fleet assets.
- Coordinate vehicle registration, licensing, insurance renewals, and inspections.
- Schedule and track preventative maintenance and servicing.
- Maintain maintenance and repair records.
- Monitor warranty information and service schedules.
- Assist departments in tracking fleet usage and replacement needs.
Asset Tracking and Administration
- Maintain a centralized inventory of insured assets.
- Track purchases, disposals, and transfers of vehicles, equipment, and other insurable assets.
- Work with departments to ensure asset records remain current.
- Maintain electronic and physical records related to insurance and fleet operations.
Reporting and Support
- Prepare reports regarding fleet assets, insurance renewals, claims activity, and maintenance schedules.
- Assist with annual budgeting for insurance and fleet-related costs.
- Support procurement and contract administration by obtaining insurance documentation when required.
- Provide administrative support related to insurance, fleet, and asset management activities.
Qualifications
- Diploma in Business Administration, Office Administration, Accounting, Public Administration, or a related field; or an equivalent combination of education and experience.
- Two to three years of administrative experience.
- Experience with insurance administration, fleet management, records management, or asset tracking is an asset.
- Strong organizational and record-keeping skills.
- Proficiency with Microsoft Office, particularly Excel.
- Ability to coordinate information across multiple departments.
- Strong attention to detail and communication skills.
