Job Title: IT Systems Specialist - SharePoint

Job Summary:
The consultant is responsible for the administration, support, governance, and ongoing optimization of the organization’s hybrid SharePoint environment.
Key Responsibilities:
- Administer, configure, monitor, and maintain SharePoint Online and SharePoint Server Subscription Edition environments, including sites, site collections, libraries, lists, permissions, storage, service health, configuration, availability, security, performance, and compliance with established service levels.
- Create, configure, and maintain SharePoint sites, site collections, communication sites, team sites, document libraries, lists, metadata structures, views, navigation, permissions, alerts, and related collaboration features based on business requirements and governance standards.
- Support the ongoing operation of a hybrid SharePoint environment, including coordination between SharePoint Online and on-premises SharePoint platforms, identity and Active Directory integration, access management, search, workflow, infrastructure dependencies, and user experience consistency.
- Manage SharePoint permissions, access controls, site ownership, and security configuration to protect confidential information and ensure appropriate access to business content.
- Facilitate and support SharePoint migrations, upgrades, and modernization initiatives, including assessment, planning, site owner engagement, content clean-up, migration execution, troubleshooting, validation, issue resolution, and post-migration support between on-premises SharePoint environments and SharePoint Online.
- Provide SharePoint application support for corporate intranet, team, project, committee, and business application sites, including troubleshooting forms, lists, libraries, workflows, permissions, web parts, integrations, custom or third-party components, user assistance, and coordination with internal technology teams.
- Support, troubleshoot, and document legacy SharePoint workflow solutions, including SharePoint Designer, SharePoint 2010 workflows, SharePoint 2013 workflows, Workflow Manager, workflow engines, and related migration considerations, while assisting with transition planning to modern automation solutions.
- Monitor SharePoint platform health, usage, storage, content growth, farm services, event logs, database performance, search, workflows, service incidents, operational risks, and related infrastructure; identify trends, risks, and opportunities for improvement, escalating issues to internal teams or Microsoft support as required.
- Support patching, cumulative updates, security updates, configuration changes, backup and restore activities, site and file restores, disaster recovery testing, and operational readiness for SharePoint environments.
- Maintain SharePoint governance, standards, procedures, and documentation, including site provisioning processes, access control practices, support procedures, lifecycle management,
technical standards, operational runbooks, and migration guidance.
- Gather business requirements, design and implement practical SharePoint-based solutions, assess solution options, recommend appropriate SharePoint or Microsoft 365 capabilities, and support process improvements using lists, libraries, forms, workflows, permissions, reporting, and integrations.
- Provide technical guidance, documentation, knowledge sharing, and end-user support to departments, project teams, site owners, power users, developers, service desk staff, and other business or technical stakeholders.
- Research, test, recommend, and implement new SharePoint features, Microsoft 365 capabilities, third-party tools, and configuration changes that improve productivity, usability, governance, supportability, and platform value.
- Participate in change management, testing, release planning, incident response, problem management, and continuous improvement activities related to SharePoint services.
- Support modernization efforts by identifying opportunities to replace legacy SharePoint customizations, InfoPath forms, and classic workflows with modern SharePoint, Power Platform, or other approved Microsoft 365 solutions.
- Collaborate with infrastructure, database, network, security, application development, enterprise architecture, records management, and Microsoft 365 platform teams to support SharePoint services, integrations, application dependencies, and technical standards.
Required Qualifications and Skills:
- Demonstrated experience administering SharePoint Online and on-premises SharePoint environments, preferably including SharePoint Server Subscription Edition, SharePoint 2019, or similar enterprise SharePoint platforms.
- Robust understanding of SharePoint site architecture, permissions, site collections, hubs, libraries, lists, content types, metadata, versioning, retention considerations, and document management practices.
- Experience creating, configuring, and supporting SharePoint sites, libraries, lists, views, navigation, pages, and collaboration spaces for business users.
- Experience supporting SharePoint migrations, including discovery, assessment, planning, remediation, testing, user communication, migration execution, and post-migration validation.
- Working knowledge of SharePoint Designer workflows, SharePoint 2010 workflows, SharePoint 2013 workflows, Workflow Manager, and related workflow support considerations.
- Experience troubleshooting SharePoint application issues, including permissions, content access, workflow failures, list or library configuration issues, page errors, custom forms, and integration problems.
- Knowledge of Microsoft 365 administration concepts, including identity and access management, groups, security, compliance considerations, and service health monitoring.
- Ability to write and maintain clear technical documentation, support procedures, knowledge articles, standards, and operational runbooks.
- Solid analytical, troubleshooting, communication, and customer service skills,
with the ability to work directly with business stakeholders and technical teams.
Preferred Skills and Assets:
- Knowledge of Microsoft Power Platform, including Power Apps and Power Automate, with the ability to support or guide modernization of legacy SharePoint forms and workflows.
- Experience with SharePoint Online modern sites, hub sites, communication sites, Teams-connected sites, external sharing controls, and Microsoft 365 group-connected collaboration experiences.
- Experience with PowerShell for SharePoint administration, reporting, permissions review, migration support, or operational automation.
- Familiarity with SharePoint migration tools, assessment tools, site inventory methods, content clean-up practices, and migration planning approaches.
- Understanding of records management, information governance, accessibility, data protection, cybersecurity, and compliance considerations in a Microsoft 365 and SharePoint environment.
- Experience supporting legacy SharePoint customizations, InfoPath forms, third-party SharePoint add-ons, custom web parts, or business applications integrated with SharePoint.
- Experience working in a hybrid environment where SharePoint Online and on-premises SharePoint coexist during a phased modernization or migration program.

Education and Certifications:
- Post-secondary education in information technology, computer science, business systems, or a related discipline, or an equivalent combination of education and experience.
- Microsoft certifications related to Microsoft 365, SharePoint, Power Platform, Azure, or security are considered an asset.
- Training or certification in ITIL, project delivery, business analysis, or change management is considered an asset.
