Job Summary
Coho Commissary is seeking an organized, detail-oriented, and customer-focused Kitchen Commissary Administrator to support the daily administrative operations of our shared commercial kitchen facilities. This role is responsible for managing member administration, CRM and Optix software, onboarding and offboarding, billing support, and maintaining accurate operational records while delivering an exceptional experience for our members.
Key Responsibilities
- Manage daily administrative operations for two commissary kitchen facilities.
- Administer the CRM and Optix platforms, ensuring member information, bookings, and records are accurate and up to date.
- Coordinate member onboarding, offboarding, renewals, orientations, and ongoing administrative support.
- Respond to member inquiries via phone, email, and in person, providing exceptional customer service.
- Assist with facility tours and support leasing inquiries and occupancy initiatives.
- Prepare member agreements, invoices, billing documentation, and account updates.
- Maintain accurate administrative records, digital files, permits, insurance certificates, and compliance documentation.
- Coordinate meeting room and kitchen bookings through the Optix platform.
- Generate reports related to memberships, occupancy, billing, and operational metrics.
- Support purchasing and inventory administration for office and operational supplies.
- Assist with coordinating maintenance requests, vendor communications,
and service scheduling.
- Work closely with the General Manager to ensure efficient day-to-day facility operations.
- Maintain confidentiality of member information and business records.
Qualifications
- Minimum 2 years of administrative, office management, or customer service experience.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Experience using CRM software and Microsoft Office or Google Workspace.
- Experience with the Optix workplace management platform is considered an asset.
- Strong attention to detail and accuracy with data entry and record keeping.
- Ability to work independently while managing multiple priorities.
- Experience in a commercial kitchen, commissary kitchen, coworking environment, or food production facility is an asset.
- A hospitality or food industry background is considered an asset but is not required.
Working Hours
- This is a full-time position with regular hours of Monday to Friday, 9:00 a.m. to 5:00 p.m.
- Occasional flexibility may be required to assist with member onboarding, facility events, or operational needs.

Pay: $40,000.00-$55,000.00 per year
