Permanent Position – Hybrid The successful candidate will independently manage the daily activities of a team of law clerks in the Capital Markets and M&A; practices. They will be collaborative, professional, adaptable and positive and interested in their work. This role has a dual reporting relationship with the Law Clerks in the share and the Manager, Legal Assistant Services.
Hours of work are from 9 am to 5 pm. Occasional pre-authorized overtime may be required to meet client needs.
Primary Responsibilities:
- Handling all administrative duties such as email and calendar management, coordinating meetings, processing incoming and outgoing mail, preparing expense reports, reconcile VISA tracking spreadsheets, and processing of invoices and disbursements.
- Preparing and maintaining a bring-forward system as well as providing appropriate reminders.
- Under legal professional supervision, prepare initial drafts of legal documents and correspondence according to precedents and/or instructions.
- Ensuring all physical and electronic filing is organized and up to date regularly.
- Delegating tasks to, and coordinating with, other administrative departments.
- Providing backup coverage in the absence of other assistants.
- Other duties, as assigned.
Required Knowledge and Experience:
- Completion of a post-secondary Legal Assistant or Law Clerk program.
- Minimum of 1 year working experience in a law firm environment.
- In-depth understanding of business and legal terminology.
- Strong technicals skills using MS Office 365.
- Experience working with 3E and iManage Work.
- Experience working with SEDAR, SEDI, the Ontario Securities Commission and the National Registration Database would be an asset.
Pay Range $55,000 to $75,000 per annum. Pay range to be commensurate with experience.
