Job Overview:

As the Long-Distance Coordinator, you will play a vital role in ensuring the smooth execution of long-distance moving and storage operations.

Your responsibilities will include managing job schedules, coordinating with drivers, preparing essential paperwork for cross-border and customs clearance, and assisting with fleet maintenance. You will also provide backup support for local dispatch operations, collaborate with international agents, and facilitate communication between customers, drivers, and the operations team.

Key Responsibilities:

1. Local Dispatcher Backup:

- Serve as a backup for the local dispatcher, particularly during busy periods (multiple calls) or in the event of sickness, vacation, or time off.
- Answer phone calls when necessary, especially during lunch hours, and inquire with drivers about their availability for upcoming jobs.
- Assist in setting up dispatch schedules and printing dispatch pages for advanced job bookings.

2. Fleet Maintenance:

- Monitor driver license renewals and issue reminders at least 10 days in advance of expiration.
- Remind drivers about upcoming motor vehicle inspections, providing a 15-day notice to ensure compliance.
- Help coordinate fleet maintenance, including transporting trucks to and from repair locations as required.

3. Customs Coordination:

- Guide customers on how to clear goods when shipments arrive from international destinations.
- Ensure that drivers receive the proper Atlas paperwork for customs clearance when crossing borders.
- Handle tasks involving customs brokers for commercial goods shipments between the U.S. and Canada.
- Prepare and submit ACE/ACI documentation required for cross-border shipments into and out of the USA.
- Monitor and manage "INBOND" shipments, ensuring goods are not stored longer than the 40-day limit.
- Coordinate with the warehouse team to properly label "INBOND" goods and ensure regulatory compliance.

Job Management & Scheduling:

- Register new jobs, create work orders, assign job numbers, and maintain comprehensive documentation for each move.
- Prepare job files for drivers, ensuring all required paperwork is organized and complete.
- Calculate driver pay, allocate job assignments, and communicate job details, routes, and schedules to drivers.
- Identify opportunities to consolidate jobs to enhance efficiency and reduce costs.
- Coordinate communication with Atlas Van Lines, other agents, and stakeholders, handling email inquiries and updates.
- Confirm job details with customers, including crew arrival times and additional information about their move.
- Extend the Bill of Lading (BOL) as necessary and promptly send customer invoices after job completion.
- Collect customer payments and ensure all financial records are accurately updated.
- Obtain government authorizations for regulated shipments when required.

5. Driver Coordination & Dispatch Support:

- Provide drivers with necessary documentation and ensure they are well-prepared for their assigned jobs.
- Complete and prepare cross-border paperwork (ACE/ACI) for drivers handling U.S.-Canada shipments.
- Serve as the local dispatcher in the absence of your co-worker, managing and assigning local moving jobs.
- Verify that drivers and trucks have appropriate insurance coverage and comply with company policies and regulations.
- Monitor driver qualifications and fleet standards to ensure compliance with operational and safety requirements.

International Coordination (If applicable):

- Respond to emails and inquiries from international agents and other involved parties.
- Create job files, assign numbers, and keep accurate records for international moves.
- Report to the Canada Border Services Agency (CBSA) with status updates on international shipment arrivals.
- Contact international customers to assist with customs clearance and documentation for their shipments.
- Schedule and manage international moving jobs, ensuring all necessary documents are submitted and approved.
- Scan and send completed job documents to agents involved in the international shipment process.

Qualifications:

- High school diploma or equivalent; a degree in logistics, supply chain management, or a related field is preferred.
- Proven experience in logistics, dispatch, or a similar role, ideally within the moving and storage industry.
- Knowledge of cross-border regulations, customs processes, and documentation (ACE/ACI, INBOND).
- Strong organizational skills and attention to detail, especially for maintaining accurate records.
- Excellent communication skills, both verbal and written, with the ability to manage multiple stakeholders.
- Proficient in using computers and software tools such as Microsoft Office, email, and dispatch systems.
- Ability to manage multiple tasks, prioritize effectively, and work under pressure.
- Familiarity with Atlas Van Lines operations and procedures is a plus.

Job Type: Full-time Pay: $22.50-$25.00 per hour
