Personal and Administrative Assistant to the Owner of Multiple Businesses
We’re looking for someone highly organized, resourceful, dependable, and capable of getting things done.
The position supports the owner of several local businesses in the health, fitness, and wellness industries. There is no boring corporate routine here. One day you may be researching a new business opportunity, the next you may be dealing with a contractor, comparing proposals, organizing an event, or handling a personal appointment.
The job is simple to explain: keep things organized, solve problems, follow up relentlessly, and make sure nothing gets forgotten.
You will receive plenty of direction, but you must also be capable of figuring things out independently. If something is outstanding, follow up. If information is missing, find it. If there are five options, research them and identify the best one.
This is a low-ego workplace with high expectations. We communicate directly, make decisions quickly, and expect people to take ownership of their responsibilities. We don’t micromanage schedules or measure performance by how many hours someone sits at a desk.

As long as the work is handled properly, deadlines are met, and nothing is falling through the cracks, you’ll be given flexibility and left alone to do your job. What You’ll Be Doing
- Communicating and following up with contractors, suppliers, property managers, professional advisors, and other business contacts.
- Requesting quotes, comparing proposals, booking appointments, and tracking outstanding matters.
- Supporting health clubs, fitness facilities, wellness businesses, commercial properties, and new business projects.
- Researching vendors, products, properties, services, regulations, and business opportunities.
- Turning research into short, helpful comparisons and recommendations.
- Drafting and proofreading emails, letters, reports, forms, and other communications.
- Tracking deadlines, renewals, applications, invoices, agreements, and project documents.
- Coordinating personal appointments, purchases, deliveries, household services, and occasional errands.
- Helping organize meetings, staff functions, business events, and personal occasions.
- Handling confidential business, financial, and personal information.
- Identifying unresolved issues and following up without being reminded five times.
- Taking on miscellaneous business and personal projects as they arise.
What We’re Looking For
- A genuine interest in health, fitness, and wellness.
- Previous experience as a Personal Assistant, Administrative Assistant, Executive Assistant, Office Coordinator, or in a similar role.
- Strong organizational and time-management skills.
- Clear written and verbal communication.
- Excellent research skills and the ability to separate useful information from online noise.
- Experience using AI tools for research, writing, organization, and day-to-day work. If you can make AI do half your job, we’re already impressed.
- Strong attention to detail and consistent follow-through. “Close enough” is not a strategy here.
- The ability to manage several assignments without losing track of priorities.
- Good judgment and the ability to work independently.
- Discretion, professionalism, and reliability.
- Proficiency with AI tools, Microsoft Office or Google Workspace, including email, calendars, spreadsheets, and documents.
- Comfort learning new software and online systems.
- A valid driver’s licence and access to a reliable vehicle are preferred.
- Experience driving a manual-transmission vehicle. Experience driving supercars, RHD cars, lowered cars and old shitboxes is a plus.
- Experience supporting business owners or working across multiple companies is an asset.

- Understand that “I sent one email and nobody replied” does not mean the task is complete.
