PHS Disaster Services DKI is recruiting a Full-time Project Manager Assistant to join our team. For over 20 years, PHS Disaster Services DKI has been providing exceptional restoration services in Edmonton and the surrounding area.
The Project Manager Assistant (PMA) will assist the Project Manager (PM) in planning and directing activities of restoration projects to promote workplace synergy, and ensure goals are accomplished within a prescribed time frame.
Experience in a restoration industry is preferred, but not an asset. Individuals with PMA/restoration experience will be carefully considered to ensure a competitive offer is made.
Responsibilities
1. Scheduling
- Coordinate and schedule the PM's schedule (schedule site visits, inspections)
- Coordinate and ensure smooth operation of multiple projects from start to finish
- Coordinate and schedule subcontractors and external trades on the behalf of homeowners
- Provide project updates to stakeholders and KPI projections
1. Communication
- Maintain professional rapport with insurance adjusters, homeowners, vendors, stakeholders to relay project schedules, milestones across various modes of communication: phone, e-mail, XactAnalysis
- Notify the PM of new or cancelled claims indicating dates, timelines, and details of the any losses, and enter information in a timely manner to Encircle, XactAnalysis to ensure KPI targets are upheld
- Conduct assessments to identify and seek solutions to project problems in order to reduce downtime
- Build and maintain good working relationships with clients to ensure complete customer satisfaction and good prospects for future business
1. Administrative
- Create accurate work orders, purchase orders, costing sheets for each job as needed
- Support the accounting department by distributing purchase orders, completed invoice forms in a timely manner for payment remittance
- Compile accurate job costing sheets for accounting purposes based off of estimates completed by the PM, costings sheets, and purchase orders
- Update client files with time sheets, job information, quotes and invoicing in a timely manner (ensuring all documents are scanned and organized)
- Ensure work authorization, completion certificates and all other required documents are obtained from client
- Document project progression, milestones, scope of work, insurance adjuster correspondents per the PM's directives
- Conduct all work in accordance with company safety policies, workplace policies, industry compliance policies
- Ensure Key performance indicators (KPI's) are effectively monitored and maintained to meet industry standards

- Effective written and verbal communication skills to deliver clear communication to the PM, Office Manager, Stakeholders, Homeowners, Vendors, and Insurance Adjusters

Requirements:
- 1+ years experience in a Restoration industry is preferred
