We are seeking a detail-oriented and organized Real Estate Office & Legal Office Administrator to provide administrative and operational support for our real estate and legal teams. The successful candidate will manage office operations, prepare and maintain legal and real estate documentation, coordinate client communications, schedule appointments, and ensure compliance with regulatory and company standards.
Key Responsibilities
Office Administration
- Manage daily office operations and reception duties.
- Answer and direct phone calls, emails, and client inquiries professionally.
- Schedule appointments, meetings, property viewings, and legal consultations.
- Maintain office supplies, equipment, and vendor relationships.
- Organize electronic and physical filing systems.
- Prepare reports, correspondence, and presentations.
Real Estate Administration
- Prepare listing agreements, purchase and sale agreements, leases, and transaction documents.
- Coordinate transaction timelines and ensure all required documentation is completed.
- Liaise with clients, real estate agents, lenders, inspectors, appraisers, and lawyers.
- Maintain MLS listings and update property information.
- Track contract deadlines, conditions, and closing dates.
- Assist with marketing materials and property advertisements.
- Maintain accurate client and transaction records.
Legal Administration
- Prepare legal correspondence, contracts, affidavits, and other legal documents.
- Organize legal files and maintain confidential client records.
- Coordinate document execution, notarization, and filing when required.
- Monitor legal deadlines, court dates, and regulatory compliance.
- Assist with document review and file management.
- Conduct basic legal and property-related research as assigned.
- Ensure confidentiality of sensitive legal and client information.
Client Service
- Provide exceptional customer service to clients, vendors, and business partners.
- Respond promptly to inquiries and resolve administrative issues.
- Maintain professional communication throughout transactions and legal matters.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Legal Administration, Office Administration, Real Estate, or a related field.
- 2–5 years of administrative experience in a real estate office, law firm, or related professional environment.
- Experience supporting real estate transactions and legal documentation is preferred.
