Purpose of the Registrar To get members registered for all programs offered by Oceanside FC and to help Board Members, other employees, parents, and volunteers obtain Club information.
The position is a year-round job with slow times and busy times (Feb – May, Aug – Oct). An average of 10-15 hours per week is anticipated, but flexibility in time is important.
Job Duties
Administrative
- Managing the registration system (Power Up) to ensure accurate and timely registration for various programs throughout the year.
- Helping members complete registration, including collecting funds and helping with funding assistance.
- Providing registration information to Upper Island Soccer Association (UISA), BC Soccer and others as required.
- Accounting for all external player funding and communicating with external funding organizations when required.
- Processing and tracking player refunds.
- Providing age group coordinators with registration details for players within their age groups and managing age group wait lists as required.
- Coordinating resolution of incomplete registrations.
- Maintaining a database of all current and former players.
- Creating & documenting player ID numbers and submitting rosters to UISA in coordination with the Operations Manager.
- Ensuring all players, coaches and referees are affiliated in accordance with BC Soccer requirements and UISA.
Submitting required affiliation and other fees due in the Fall and Spring.
- Ensuring Criminal Record Checks (CRCs) and required coaching courses are tracked and kept up to date.
- Working closely with the Operations Manager and Treasurer to ensure registration information is accurate.
- Other administrative support as required.
Communication
- Replying by email or by phone within 24 to 48hours to members.
- Assisting volunteers (Coaches, Age Group Coordinators, etc.) within a reasonable time frame via email, text or phone call.
- Working with Executive, Operations Administrator and Board Members as required.
- Managing general registration and member questions via email and Facebook messenger.
Skills and Abilities
- Proficient computer skills - Word, Excel, social media platforms, and the ability to learn the Powerup registration system.
- Organized and able to meet deadlines.
- Be flexible and work well under pressure.
- Work independently and cooperatively as a team member.
- Project a skilled image of the Club.
This role can be expanded to include more responsibilities for the right candidate. Local candidates are preferred Job Type: Part-time
Pay: From $24.50 per hour
