Fix Auto Erin Mills is seeking a motivated and detail-oriented Repair Planner/ Parts Coordinator to join our collision repair team. This dual-role position is responsible for performing high-quality vehicle assessments with the estimators while supporting the efficient parts returns, receiving, organizing, and management of parts department and parts throughout the repair process. The successful candidate will play a key role in ensuring repairs are completed safely, accurately, and on schedule while maintaining exceptional customer satisfaction.

Repair Planner Technician Duties

Repair Planning & Vehicle Diagnostics The main job for the auto body repair planner component consists of three general areas. One is the dismantling and reassembling of customers vehicles for insurance estimates including photos of damage and the repair and reassemble of certain repair as per management. Two is the detailing of the customers cars prior to them receiving their vehicle.

Essentially the last set of hands on the customers car. It is a very important in our chain of process and procedure. And the last portion is the pickup and delivery of customers cars and dealer. Again, a very essential role for the company as you will be the face of Fix Auto Erin Mills when meeting with both our customers and our dealer contacts and when exchanging repairs and rentals.

- Utilize established vender contracts and create relationships with our parts network people and dealer associated dealer processes.
- Order and source replacement parts for damaged or incorrect delivered parts.
- Verify parts received for accuracy, quality, and completeness.
- Label, organize, and stage parts for each repair order.
- Coordinate returns, credits, and warranty claims with vendors.
- Track backordered parts and communicate delays to the production team.
- Maintain accurate inventory records and assist with stock organization.
- Work closely with technicians, vendors and the admin team

Disassembly & Inspection:

- Strip down damaged vehicles to help conduct accurate structural appraisals and take detailed insurance documentation photos.

Systems Testing:

- Evaluate vehicle electronics, dashboard warning lights, windows, and climate control functionality post-collision.




- 3D Measuring using state-of-the-art equipment when called for

Documentation & Logistics:

- Complete repair planning checklists, document prior unrelated vehicle damage, and coordinate final vehicle detailing and customer delivery/valet services.

Parts & Inventory Management

Inventory Control:

- Manage the, receiving, staging, stocking, and returning of all automotive parts, tools, and shop materials, with the goal of $0 credits owed by the end of each month.

Production Alignment:

- Partner closely with estimators, and technicians to mirror parts arrival with the shop schedule for optimal vehicle flow.
- Ensure proper use of the systems and managements suites to facilitate proper production flow and communication with other departments.

Profitability & Vendor Relations:

- Establish, monitor, and negotiate vendor discounts and service levels; ensure all parts are accurately accounted for and invoiced.
- Utilize established vender contracts and create relationships with our parts network people and dealer associated dealer processes.

- Work closely with technicians, estimators, and suppliers to minimize repair delays.

Qualifications

- Previous experience as an Auto Body Technician in a collision repair environment is considered an asset.
- Experience with collision parts ordering or inventory coordination/control is considered an asset.
- Knowledge of OEM repair procedures and collision repair processes.




- Robust organizational and time management skills.
- Ability to work independently and as part of a team.
- Excellent attention to detail and commitment to quality workmanship.
- Currently enrolled or have completed apprenticeship program in auto collision
- Own a basic set of automotive tools
- Valid Ontario G Driver’s License with a clean driving record.

Goals for Position

- Ensure that 100% broken pieces have been removed and itemized at time of first appraisal. (Placed on the appropriate parts cart shelf as per our Repair Plan Grid)
- Ensure that drivable repair plans are completed within 45 min 100% of the time.
- Ensure that all damages (directly/indirectly) are captured at initial inspection.
- Ensure that drivable repair plans are 100% safe and road worthy all the time.
- Ensure that damage has been inspected with a manager/site appraiser 100% of the time prior to reassembly.

HPA’S -High Priority Action Items

- Ensure all UPD’s are outlined on vehicle and digitally documented.
- After Photos have been taken remove all markings on vehicle.
- Disassemble/reassemble drivable vehicles
- Ensure that all vehicle and parts carts are properly labelled
- Ensure that no parts are left in vehicles at any point of the repair process.
- Always keep Repair Planner area clean organized and ready.
