Position Summary
We are looking for a hands-on Residential Leasing & Property Operations Specialist to coordinate the leasing, readiness, and ongoing operation of company-owned residential units across several Ontario projects. The portfolio may include vacant units, long-term rentals, short-term accommodations, model or staged units, and units being prepared for sale.
This position combines property operations, tenant and guest service, vendor coordination, leasing administration, and sales support. The successful candidate will keep each unit safe, presentable, occupied where appropriate, accurately documented, and ready for rental, viewing, or sale.
Key Responsibilities
1. Portfolio and Site Operations
· Maintain a current status and action plan for each assigned unit, including vacant, rented, staged, short-term, and unsold units.
· Conduct site visits and inspections; document conditions, access issues, deficiencies, and required follow-up.
· Coordinate utilities, internet, keys, smart locks, furnishings, supplies, staging, and other unit-readiness requirements.
· Keep units clean, secure, well-maintained, accurately documented, and ready for rental, viewing, or sale.
2. Residential Leasing and Occupancy
· Long-term rentals: Coordinate advertising, inquiries, screening support, lease documents, move-in, renewals, notices, and move-out activities.
· Short-term rentals: Maintain approved listings, reservations, guest communication, check-in/check-out, cleaning, and issue resolution.
· Respond professionally to tenant and guest concerns and arrange follow-up for maintenance, complaints, or urgent matters.
· Monitor occupancy, deposits, and payment information and coordinate outstanding items with the accounting team.
3. Unit Readiness, Maintenance, and Vendors
· Arrange approved repairs, cleaning, landscaping, snow removal, pest control, furnishing, staging, and turnover services.
· Obtain quotations,
schedule access, provide clear instructions, and verify satisfactory completion of vendor work.
· Track requests, costs, completion dates, warranty items, supplies, and unresolved deficiencies.
· Respond promptly to safety, security, property-damage, or urgent maintenance concerns and escalate significant issues.
4. Sales and Marketing Support
· Coordinate access and unit readiness for buyer viewings, broker appointments, photography, staging, and marketing activities.
· Provide the sales team with current unit details, occupancy information, access instructions, and known maintenance items.
· Maintain prospect follow-up records and assist with notifications when units become available.
· Review comparable rents and occupancy trends and recommend practical ways to improve listings, presentation, and vacancy.
5. Reporting and Administration
· Maintain rent rolls, lease and deposit records, tenant or guest information, inspection records, and vendor documentation.
· Track rental revenue information and operating expenses, including cleaning, utilities, platform fees, and approved property costs.
· Prepare clear management updates on occupancy, leasing progress, turnovers, maintenance, costs, and outstanding actions; coordinate with accounting, sales, construction, legal, and management teams.
Qualifications and Experience
· Minimum 3 years of relevant experience in residential property management, leasing, real estate brokerage, short-term accommodation, or a related field.
· Practical experience with long-term leasing and/or short-term rental platforms such as Airbnb or VRBO.
· Strong organization, communication, customer-service, and issue-resolution skills.
· Working knowledge of Ontario residential tenancy requirements and Landlord and Tenant Board procedures is an asset.
· Proficiency in Microsoft Outlook, Word, and Excel; Yardi, Hostaway, property-management software,
or CRM experience is an asset.
· Solid written and spoken English is required.
· High attention to detail and sound judgment when handling confidential records, access credentials, deposits, and property information.
Licence and Travel Requirements
· A valid Ontario driver's licence and reliable access to a vehicle are required because the role involves regular travel between properties.
· Current or previous registration with the Real Estate Council of Ontario (RECO) as a broker or salesperson is an asset, but is not mandatory.
· Candidates with brokerage experience who have moved into leasing, property operations, or asset coordination are encouraged to apply.
Work Environment
· This is a full-time, in-person position based primarily at the Markham office, with frequent travel to Welland, the Niagara Region, Muskoka, and other assigned sites.
· Work is split between office administration and on-site inspections, appointments, turnovers, and coordination with tenants, guests, vendors, and internal teams.
· Occasional evening or weekend availability may be required for scheduled arrivals, property access, inspections, or urgent issues.
