Sales Support Specialist The Company

Reporting to the Director of Global Business Development, Flexxaire is currently recruiting for a Sales Support Specialist to join our growing commercial team located in the west end of Edmonton.

This role provides an opportunity to become an important contributor to Flexxaire’s sales organization by supporting customer quotations, order processing, sales documentation, CRM management, and coordination between sales and other internal departments.

The ideal candidate will enjoy structured work, take pride in accuracy, and be comfortable managing routine, detail-intensive responsibilities while contributing to a positive and high-performing team environment.

– Sales Support Specialist

This is a full-time, 40-hour-per-week position based entirely in Flexxaire’s Edmonton office.

The role will be primarily focused on supporting Flexxaire’s Business Development team and ensuring that customer requests, quotations, orders, documentation, and sales information are managed accurately and efficiently.

The Sales Support Specialist will work closely with Business Development, Engineering, Operations, Production, Supply Chain, and other internal departments to provide customers with timely, professional, and technically accurate support.

Duties include, but are not limited to:

- Prepare accurate, complete, and professional customer quotations.
- Review customer inquiries and gather the information required to prepare quotations and process orders.
- Interpret customer requirements and assist in identifying the appropriate Flexxaire products, configurations, and solutions.
- Enter customer orders accurately into Flexxaire’s ERP and order-management systems.
- Review purchase orders and customer documentation for pricing, quantities, delivery requirements, specifications, and commercial terms.
- Identify incomplete, unclear, or conflicting customer information and coordinate follow-up as required.
- Support the Business Development team with customer research, product information, reports, presentations, technical documentation, and sales materials.
- Maintain accurate customer, contact,



opportunity, quotation, project, and pipeline information within Zoho CRM.
- Assist with maintaining CRM data quality by updating records, identifying missing information, and ensuring sales activities and next steps are properly documented.
- Support complex and long-cycle sales opportunities through consistent documentation, internal coordination, and follow-up.
- Track outstanding quotations, customer requests, action items, and internal commitments to help ensure that nothing falls through the cracks.
- Coordinate with Engineering regarding technical requirements, product compatibility, drawings, specifications, and application-related questions.
- Coordinate with Operations, Production, and Supply Chain regarding product availability, costs, lead times, delivery requirements, and order status.
- Communicate professionally with customers, distributors, dealers, suppliers, and internal team members.
- Assist in responding to customer inquiries regarding quotations, orders, product information, documentation, and delivery status.
- Support the preparation and organization of documents required for customer bids, tenders, proposals, and vendor-registration processes.
- Maintain organized electronic files for quotations, purchase orders, customer correspondence, technical documentation, and sales records.
- Assist with the preparation of sales reports, pipeline reports, forecasting information, and other commercial reporting requirements.
- Identify opportunities to improve quotation processes, CRM practices, internal communication, sales documentation, and customer response times.
- Cross-train on sales support activities to provide coverage during employee absences and periods of increased workload.
- Perform other duties as required.

Minimum Qualifications

- High school diploma.
- Post-secondary education in business administration, sales, engineering technology, supply chain, or a related discipline is preferred.
- Previous experience in sales support, inside sales, customer service, order processing, estimating, or a coordination role is preferred.
- Exceptional attention to detail and a strong commitment to accuracy.
- Highly organized and able to manage multiple priorities, deadlines, and follow-up activities.




- Strong written and verbal communication skills.
- Demonstrated ability to work independently and as part of a team.
- Strong follow-through and a high level of personal accountability.
- Comfortable completing repetitive and detail-intensive tasks consistently and accurately.
- Solid technical aptitude and an interest in learning about industrial products, applications, and customer requirements.
- Ability to review information critically, identify missing details, and ask appropriate follow-up questions.
- Comfortable working with CRM, ERP, order-entry, quoting, and document-management systems.
- Proficient in Microsoft Excel, Word, Outlook, Teams, and other online business platforms.
- Enjoys supporting multiple responsibilities and contributing to a positive, fast-paced work environment.

The Following Experience Is Considered an Asset

- Experience using Zoho CRM.
- Experience using IndustriOS or another manufacturing ERP system.
- Experience preparing customer quotations, bids, tenders, proposals, or estimates.
- Experience working in an industrial, manufacturing, engineering, heavy-equipment, or technical-product workplace.
- Experience reviewing purchase orders, customer specifications, technical drawings, bills of materials, or product configurations.
- Experience supporting international customers, distributors, dealers, or sales representatives.
- Familiarity with long-cycle, project-based, or OEM sales processes.
- Fluency in Portuguese, Italian, French, German is considered an asset.

Pay: $60,000.00-$75,000.00 per year
