Dream Theory is an AI VFX studio developing new ways to integrate generative technology into professional post-production. We work across commercial, film, and television projects, combining emerging AI workflows with established VFX craft. We’re looking for a proactive and highly organized Studio Coordinator with 1–3 years of professional experience to help keep the company moving across production, business development, and studio operations.
This isn’t a conventional production coordinator position focused primarily on maintaining trackers. Project coordination will be part of the job, but the larger opportunity is to connect the dots across the studio: keeping conversations moving, identifying loose ends, supporting outreach, helping the team stay aligned, and ensuring important follow-ups don’t get buried. What you’ll do
Business development and sales coordination
Coordinate meetings, schedules, and follow-ups with clients, partners, and prospective clients
Track active conversations and help keep opportunities moving forward
Flag emails, decisions, and follow-ups requiring attention from the Managing Director
Draft client emails, meeting follow-ups, introductions, and initial outreach
Research prospective clients, productions, studios, and upcoming opportunities
Prepare background notes, materials, and agendas ahead of meetings
Maintain a clear picture of the studio’s business development pipeline
Occasionally pick up the phone when a direct conversation is the most effective way forward
Studio and production coordination
Maintain lightweight, useful project and studio trackers
Check in with team members and surface schedule concerns, missing information,
or emerging bottlenecks
Coordinate internal and external meetings and capture clear next steps
Support project setup, documentation, and delivery coordination
Help information move cleanly between the team, leadership, clients, and partners
Systems and workflow improvement
Build and maintain practical tools in Excel, Google Sheets, and Google Workspace
Identify repetitive administrative tasks that can be simplified or automated
Improve workflows for follow-ups, reporting, meeting coordination, and project visibility
Look for operational gaps before they become problems
Who we’re looking for
You’re organized, but you don’t mistake organization for productivity. You understand that the purpose of a tracker, meeting, or process is to help work move forward. You’re comfortable working in a small, fast-moving company where responsibilities overlap.
You can move between coordinating a client meeting, checking on a project, researching an chance, and improving a spreadsheet without losing sight of the bigger picture. Most importantly, you’re proactive. When you notice a loose thread, you follow it.
When something needs attention, you flag it clearly. You don’t need to wait for a perfectly defined task before finding a useful way to contribute. What you bring
1–3 years of experience in coordination, production, studio operations, client services, business development support,
or a related role
Strong organizational, written communication, and interpersonal skills
Excellent working knowledge of Excel, Google Sheets, and Google Workspace The ability to manage multiple conversations, priorities, and deadlines
Confidence communicating with clients, partners, and internal team members
Positive judgment about when to follow up, escalate, or take initiative
Comfort drafting clear, professional emails in someone else’s voice
Curiosity about business development, studio operations, and emerging technology A collaborative and approachable working style
Especially valuable
Experience building advanced spreadsheets, dashboards, or automated Google Sheets workflows
Previous experience in post-production, VFX, production, advertising, or another creative services business
Experience supporting business development, client services, or company leadership An interest in AI-assisted creative production and its role in film, television, and advertising
