Warranty Administrator

Position Summary
The Warranty Administrator is responsible for managing all aspects of warranty claim processing, ensuring claims are submitted accurately, promptly, and in accordance with Volkswagen Canada policies and procedures. This role works closely with service advisors, technicians, parts personnel, and management to maximize warranty reimbursement while maintaining compliance with manufacturer standards. The ideal candidate is highly organized, detail-oriented, and capable of working in a fast-paced dealership environment with strong administrative and communication skills.
Key Responsibilities
- Prepare, process, submit, and reconcile warranty claims through Volkswagen Canada's warranty system.
- Ensure all warranty claims are accurate, complete, and submitted within manufacturer timelines.
- Review repair orders for proper documentation, technician notes, labour operations, and parts eligibility before submission.
- Monitor claim status, identify rejected or unpaid claims, and resolve discrepancies promptly.
- Process warranty credits and maintain accurate warranty schedules and receivables.
- Perform warranty claim audits to ensure compliance with Volkswagen Canada policies and dealership procedures.
- Maintain organized warranty records and documentation in accordance with manufacturer retention requirements.
- Work with Service Advisors and Technicians to improve repair order documentation and reduce claim rejections.
- Communicate with Volkswagen Canada Warranty Representatives regarding claim inquiries, audits, and policy updates.
- Assist management with warranty performance reporting, including submission rates, receivables, and recovery percentages.
- Stay current on Volkswagen warranty policies, labour operations, technical bulletins, recalls, and campaign procedures.
- Support recall administration and ensure customer vehicles are processed according to Volkswagen guidelines.
- Assist with internal and external warranty audits.
- Promote continuous improvement in warranty administration processes and dealership compliance.
Qualifications
- Previous experience as a Warranty Administrator in an automotive dealership is preferred.
- Experience with Volkswagen warranty administration is considered a strong asset.
- Knowledge of automotive service operations and repair order processes.
- Experience with dealership management systems (PBS, Reynolds & Reynolds, CDK, Dealertrack, or similar) is an asset.
- Strong computer proficiency, including Microsoft Office applications.
- Excellent organizational skills with exceptional attention to detail.
- Strong analytical and problem-solving abilities.
- Ability to manage multiple priorities while meeting deadlines.
- Effective written and verbal communication skills.
- Ability to work independently and collaboratively within a team environment.
