Job Description
POSITION SUMMARY: Under the general supervision of the Sport Development Coordinator, the individual is responsible for providing on-site leadership and supervision to staff teams working in various City recreation facilities. This includes assessing compliance with applicable legislation and municipal by‑laws, health and safety, and work performance.
Coordination of day‑to‑day operations and assignment of work is also an integral part of the position.
MAJOR RESPONSIBILITIES:
- Assist in on‑site supervision of staff, providing technical direction, monitoring performance, coaching/mentoring, health & safety compliance, and risk assessment.
- Liaise with user groups and monitor rentals; serve as on‑site contact and facilitate requests.
- Participate in assignment of staff, equipment, and materials as required, ensuring effective utilisation within the section.
- Assist with training and scheduling of part‑time staff working at City community centres and sport facilities, including arenas, stadia and events.
- Perform public relations duties in the absence of full‑time staff; handle inquiries and complaints.
- Open and close facilities according to procedures.
- Monitor facilities for user needs, suspicious behaviour, and general cleanliness, responding accordingly.
- Respond to all service areas, including emergencies and coordination of facilities during emergency situations and evacuations; administer first aid as required and complete required paperwork and reports in a timely manner.
- Perform cash control procedures and ensure all reports and cash receipts are balanced.
- Verify cash deposits; prepare cash pick‑up and receive coin delivery as needed.
- Ensure adequate staffing, monitor shift changes and plan work for staff.
- Perform event inspections to ensure compliance with Special Event License terms and street closure permits.
- Perform duties of Facility Attendant, Event Attendant, Ice Patrol and Special Events Officer as required.
- Support the review of certificates of insurance provided by facility renters.
- Update event sections of the City of Thunder Bay website and monitor social media channels.
- Update various contact databases.
- Attend meetings as required and present and report as needed.
- Perform such other related duties as may be required.
QUALIFICATIONS:
Education/Experience:
- Post‑secondary education in a related field such as recreation, event, sport management, tourism, human services, social sciences or public or business administration.
- Previous experience in special events and sport administration and working with the community and volunteer organizations is preferred.
- Previous supervisory experience.
Skills/Abilities:
- Ability to communicate effectively and concisely, both orally and in writing.
- Excellent project/time‑management, analytical/critical thinking, problem‑solving, and decision‑making skills.
- Good customer service and communication skills; courteous and tactful in dealing with the public.
- Ability to establish and maintain effective relationships with administration, superiors, co‑workers, employees and the general public.
- Ability to provide direction and enforce corporate policies with staff in a tactful and effective manner.
- Proven conflict management abilities and mediation skills.
- Ability to work independently and as part of a team.
- Basic skill level in word processing and spreadsheet software.
- Valid Class “G” Ontario Driver’s Licence, or equivalent.
- Competency as a driver as defined by the Corporation.
- Competency under the Occupational Health and Safety Act as amended.
Assets:
- Knowledge of events and sports sectors is preferred.
CONDITIONS OF EMPLOYMENT:
- Travel to various work locations and provide own transportation.
- Standard First Aid and Level C CPR and AED Certificate.
- Irregular work hours, including weekdays, evenings and weekends.
- Successful Criminal Record and Judicial Matters Check (CRJMC) and driver’s record (if required).
- Maintain competency as defined by the Corporation.
