The Senior Operations Officer plays a crucial role in ensuring transaction accuracy, compliance, and operational efficiency. This position primarily serves as the first reviewer and authorizer of banking transactions, safeguarding the integrity of operational processes. The Senior Operation Officer provides expert-level operational support, while guiding junior staff and collaborating across departments and with Head Office.

Daily Operations:

- Perform the first-level review and authorization of transactions, including account opening, deposit, remittance, loan transactions and treasury settlements, ensuring accuracy, completeness, and adherence to internal policies and regulatory guidelines.
- Ensure timely handling of transactions to meet operational deadlines.
- Analyze customer feedback to suggest improvement strategies and action plans.
- Coordinate cross-departmental collaboration to resolve customer issues and improve overall service quality.
- Collaborate with Head Office and other branches for cross-border transactions.
- Maintain awareness of operational risks and ensure appropriate controls are in place.
- Identify any anomalies or irregularities and escalation issues to the Chief Operation Officer.
- Maintain accurate records of operational incidents and support root cause analysis and corrective action planning.

Compliance & Regulatory Reporting:

- Assist in reviewing regulatory reports and internal policies.
- Ensure operational activities comply with AML, KYC, and other regulatory requirements.
- Maintain proper documentation and record retention standards.
- Support Compliance and Internal Audit teams during reviews and examinations.

Process Optimization & Systems:

- Participate in system requirement interviews,



testing, upgrades, and troubleshooting.
- Identify opportunities for improving transaction workflows and operational efficiency.
- Support implementation of current systems or automation tools.
- Ensure daily tasks are completed accurately and efficiently.
- Provide guidance, training, and support to other operation staffs.
- Share expertise and best practices with junior staffs.
- Assist in resolving complex operational issues and inquiries.
- Act as the deputy to the COO, stepping in to assume operational leadership responsibilities when required.
- Assist in implementing operational strategies, policies, and controls as directed by the COO.
- Prepare operational reports and support management meetings in the COO’s absence.
- Support the implementation of business continuity and disaster recovery plans to ensure operational resilience.
- Assist with Correspondent Bank transaction inquiries and issue resolution.
- Perform other duties as assigned by COO.

Job requirements:

- Minimum of 5 years of experience in banking operation.
- Strong knowledge of Canadian banking regulations, AML/ATF compliance, treasury settlement, and operational best practices.
- Time management and multi-tasking ability.
- Excellent analytical, problem-solving, and decision-making skills.
- Strong communication and collaboration skills with cross- departmental teams.
- Bilingual proficiency (English and Mandarin) is an asset.
- Proficiency in Microsoft Office applications.

Reports to Chief Operation Officer

- Office setting with occasional business trip for training, or coordination with Head Office.
- Standard business hours with potential for extended hours at month-end or ad hoc issues.
