We are looking for a person who will be trained for both positions: Clerk – Cemeteries and Prearrangements and Administrative Assistant – Sales. Cemeteries and Prearrangements Clerk: • Register, review and update funeral prearrangement and cemetery contracts; • Verify, calculate and enter commissions in accordance with established policies; • Process cancellations, contract amendments and transfers of plots; • Calculate refunds related to contract cancellations or amendments; • Ensure that client records and permanent files are updated; • Register and update contracts with the Office de la protection du consommateur (OPC); • Respond to requests for information from families, advisors, directors, assistants and other internal and external stakeholders; • Perform any other related duties. Administrative Assistant – Sales: • Review prearrangement and cemetery contracts to ensure compliance with policies, procedures and legal requirements; • Verify, calculate and enter commissions in accordance with established policies; • Validate and review requests for contract cancellations or amendments; • Conduct administrative follow-ups with the various stakeholders; • Respond to requests for information from families, advisors, directors, assistants and other internal and external stakeholders; • Collaborate with the sales teams to ensure the prompt and compliant processing of files; • Perform any other related duties.
APPLICABLE CONDITIONS • Regular unionized position; • Work schedule: Monday to Friday, from 8:00 a.m. to 4:00 p.m.; • Daily schedule of seven (7) hours, in accordance with the collective agreement; • Hourly rate of $27.48 while assigned to the position of Clerk – Cemeteries and Prearrangements; • Hourly rate of $28.97 while assigned to the position of Administrative Assistant – Sales; • Working conditions are governed by the collective agreement currently in effect. REQUIREMENTS • High school diploma or any combination of education and experience deemed equivalent; • Minimum of two (2) years of experience in administrative functions; • Experience in a customer service workplace; • Experience in document validation or administrative file processing (an asset); • Excellent command of French and good knowledge of English, both spoken and written, in order to serve a bilingual clientele; • Good command of the Microsoft Office suite (Word, Excel and Outlook); • Experience with integrated management software (ERP or CRM) (an asset).
