About Brain Power

Brain Power Enrichment Programs is a Canadian K to 12 academic enrichment organization with 16 campuses across Canada and the US. We teach bright students how to think, not what to think, across three programs: Math and Problem Solving, Language Arts and Public Speaking, and Admissions. Our faculty hold advanced degrees and our curriculum runs 2 to 3 grades above standard.

The Role

We are hiring a part-time Student and Family Experience Coordinator for our Vaughan headquarters campus. This person is the first voice families hear on the phone and the first face they see when they walk through our doors.

The role sits at the intersection of admissions support, family communications, campus operations, and student supervision. It suits someone who is energized by talking to people, comfortable on the telephone, and motivated by helping families find the right program for their child.

Who We Are Looking For

This is a people-facing role. We are looking for someone who is:

- Outgoing. You enjoy meeting new people and starting conversations with families you have not met before.
- Personable. Warmth comes naturally to you. Parents and children feel welcomed within seconds of meeting you.
- Comfortable on the telephone and using CRM technology. A significant portion of this role is phone work, including outbound calls to prospective and current families. You should be at ease picking up the phone, leaving voicemails, guiding conversations toward a clear next step, and utilizing a customer relationship management system, HubSpot, to track progress (CRM).
- Service-oriented. You take pride in responding quickly, accurately, and professionally.
- Organized. You can hold several tasks in motion at once without dropping any of them.
- Discreet. You handle student and family information with care and valuable judgment.





Key ResponsibilitiesFamily Communication and Admissions Support

- Answer inbound calls and respond to family emails in a skilled, timely, and solution-oriented manner.
- Lead outbound call campaigns, including program recommendations, appointment reminders, and routine follow-ups.
- Provide accurate information on programs, scheduling, assessments, registration, policies, and student placement recommendations.
- Confidently guide enrolment conversations and recommend the right program fit for the student.
- Record call activity and family interactions in HubSpot CRM.
- Support enrolment administration, including data entry, scheduling, payment processing, make-up classes, assessment bookings, and form collection.
- Regularly review and update our program information on platforms like OurKids and others.

Campus Experience and Student Supervision

- Welcome and greet students and families in person, maintaining a warm and professional campus environment.
- Stay informed on daily campus activities so you can answer family questions on the spot.
- Take and record student attendance.
- Supervise students at arrival and dismissal, releasing students only to authorized guardians in accordance with our policies.
- Support classroom readiness, including textbook and supply distribution, and ensure classrooms are left in acceptable condition at the end of each shift.

Events and Community Engagement

- Support on-site events, information sessions,



and community engagement activities as needed.

Team Collaboration

- Work alongside campus leadership, faculty, admissions, and head office to support smooth campus operations.
- Complete other administrative duties as assigned.

Qualifications and Experience

- Solid verbal and written communication skills in English.
- Professional phone and email etiquette.
- Comfortable working with children, families, faculty, and leadership.
- Ability to multitask in a fast-paced environment.
- Experience in education, tutoring, admissions, reception, hospitality, or client support is considered an asset.
- Familiarity with HubSpot or another CRM is an asset, not a requirement. We will train the right person.

Schedule and Work Conditions

- Part-time, averaging 25 to 35 hours per week for 34 weeks per year, with hours varying based on operational and seasonal needs. Additional hours possible, if supporting additional campuses or events is of interest (not required)
- Evening and weekend availability during the academic year (September through June) is required.
- Additional daytime hours may be requested during summer programming, peak registration periods, and special events.
- On-site role at our Vaughan headquarters campus.
- Occasional light physical activity, including organizing classroom materials and event setup.

- Follow all organizational safety, privacy, and student supervision policies.
- Adhere to dismissal and guardian release procedures without exception.
- Promptly report any safety, behavioral, or operational concerns to campus leadership.
- Support a safe, respectful, and inclusive learning environment for every student and family.

Reporting and How to Apply

This role reports to the Head of Admissions team at our head office.
