The ideal candidate has a minimum of 2 years of coordination experience in 3D animation or VFX, is highly proficient in ShotGrid and Excel, and possesses robust communication and risk-mitigation skills to ensure deadlines are met seamlessly.

The Role: Production Coordinator
We are seeking an organized, proactive, and detail-oriented Production Coordinator to join our Production department.



Reporting directly to the Production Management team and collaborating closely with our departments (such as the compositing team), you will act as the vital connective tissue between management, supervisors, and artists. Your primary focus will be keeping schedules on track, ensuring clear communication, and removing roadblocks so our creative teams can thrive.

This position offers a flexible Hybrid work model. You can collaborate with us directly from our studio space in Outremont, Quebec , or work entirely remotely from anywhere within the province of Quebec, Canada .

Key Responsibilities
1. Project Tracking & Documentation

Database Management: Diligently track and update all project documentation, ensuring that shot lists, asset tracking sheets, and departmental progress charts are accurate and up to date.

Status Monitoring: Maintain a real-time pulse on the progress of your assigned department, updating shot and asset statuses as they move through the pipeline.

2. Schedule Coordination & Goal Setting

Artist Targets: Work closely with Production Management and Supervisors to set, communicate, and track daily and weekly goals for individual artists.

Meeting Management: Organize, schedule, and attend production meetings and dailies. Take meticulous, detailed notes and swiftly distribute actionable information, artistic feedback, and technical notes to the artists.

3. Communication & Problem Solving

Resource Advocacy: Ensure artists have all necessary briefs, assets, and information required to hit their targets. Monitor team bandwidth and proactively alert Production Management in cases of workload overload or burn‑out risks.

Risk Mitigation: Anticipate potential bottleneck issues, dependency delays, and production constraints before they impact delivery deadlines, helping the team pivot smoothly.

Industry Experience:



A minimum of 2 years of coordination experience specifically within a 3D animation production or VFX studio pipeline.

Software Mastery: High proficiency in ShotGrid (formerly Shotgun) and Excel is strictly required for day‑to‑day database management and tracking.

Pipeline Assets: Prior exposure to or working knowledge of FTrack is considered a strong plus.

Communication & Teamwork: Exceptional interpersonal and organizational skills, with an ability to communicate clearly across artistic and managerial teams.

Priority & Crisis Management: Strong capability to prioritize tasks in a fast‑paced environment, remaining flexible and adaptable when production schedules shift.

Passion for the Craft: A genuine curiosity and enthusiasm for contributing to ambitious, high‑quality 3D and immersive projects.
