Position Summary
The Physician Lead is responsible for supporting the efficiency, coordination, and continuous improvement of physician operations within Group23. The role acts as the administrative liaison between physicians and leadership, ensuring alignment on clinic operations, program execution, and workflow optimization. The Physician Lead does not provide clinical supervision but plays a critical leadership role in enabling physicians to operate effectively within clinic systems and programs.
Duties and Responsibilities
Physician Scheduling & Operations
Support the development and maintenance of a highly productive, well‑coordinated physician environment to enable seamless program delivery and high‑quality patient care.
Manage and maintain physician schedules, including openings, closures, and adjustments.
Coordinate time‑off requests, coverage planning, and clinic capacity optimization.
Identify and resolve scheduling conflicts and inefficiencies.
Support onboarding and integration of new physicians into clinic schedules.
Develop, standardize, and optimize physician workflows and scheduling processes.
Support documentation and implementation of standard operating procedures (SOPs) related to physician operations.
Identify opportunities for automation and process improvement.
Physician & Resident Relationships and Development
Act as the primary administrative liaison between physicians and the Medical Manager/Medical Director.
Communicate operational updates, program changes, and clinic priorities.
Gather physician feedback and elevate concerns appropriately.
Coordinate and support physician meetings, including one‑on‑one and group sessions.
Build robust, trust‑based relationships with physicians and leadership.
Support physician engagement, communication, and alignment with clinic operations.
Foster a culture of collaboration, accountability, and continuous improvement.
Coordinate resident rotations, mentorship pairings, and learner placements.
Manage scheduling, onboarding, and communication for learners.
Maintain consistency and quality of program execution.
Identify opportunities to streamline or automate program administration.
Program Development & Optimization
Lead continuous improvement of physician programs and services.
Identify opportunities to improve workflow efficiency, patient flow, and physician experience.
Support implementation of clinical programs and operational processes.
Monitor program performance, including scheduling efficiency, clinic utilization, and operational metrics.
Support reporting on key performance indicators related to physician operations and clinic performance.
Use data to identify trends, inefficiencies, and opportunities for improvement.
Operational Support & Onboarding
Support physician onboarding, orientation, and documentation processes.
Maintain and improve physician‑facing workflows and processes.
Partner with administrative teams to ensure seamless clinic flow.
Problem Solving & Continuous Improvement
Identify and elevate operational and workflow challenges impacting physicians or clinic efficiency.
Lead resolution of scheduling conflicts, workflow gaps, and program challenges.
Apply structured problem‑solving approaches to improve outcomes.
Implement tools, systems, or automation to enhance efficiency.
Collaborate with leadership and cross‑functional teams to resolve operational issues.
Knowledge, Skills and Abilities
Knowledge:
Corporate purpose, mission, values, business definition, key objectives, programs, and services
Privacy legislation for healthcare and business operations; internal privacy policies and procedures
Occupational Health and Safety (OHS) and Infection Prevention and Control (IPAC) standards
Use of health record management systems (EMR)
Skills:
Excellent verbal, auditory, and written communication; professionalism and etiquette in all communications
Strong interpersonal skills: ability to adapt to various personality types and foster positive interactions
Planning, organizing,
and attention to detail in both information processing and patient experience management
Accurate keyboarding, data entry, and record keeping; reporting on key performance indicators (KPIs)
Effective use and troubleshooting of office and clinical equipment
Proficiency with Microsoft SharePoint, Teams, Outlook, Word, Excel, and operating systems
Basic to intermediate computer skills
Abilities:
Foster a positive work culture aligned with Group23's purpose and values
Maintain high energy and enthusiasm; deliver quality patient interactions
Work collaboratively, resolve issues, and engage in crucial conversations

Qualifications
Post‑secondary education in healthcare administration, kinesiology, nursing, business, or a related field; equivalent combination of education and progressive clinical operations experience will be considered
3–5 years of experience in healthcare operations, clinic coordination, or medical administration
Experience working closely with physicians or multidisciplinary clinical teams
Experience in scheduling, program coordination, or workflow optimization
Training in healthcare operations, clinic workflow, or program coordination
Experience with EMR systems; IPAC & OHS training preferred
Police Information Check upon hire and as requested
