Job Summary
The Executive Assistant (EA) at Hopes Home provides administrative support to the CEO and CFO and acts as Hopes Home Board Secretary. They are responsible for a wide range of administrative duties which allow the CEO and CFO to effectively manage day-to-day priorities and responsibilities. On behalf of the CEO, the EA communicates and collaborates with external stakeholders, the Board of Directors, internal departments and others to convey required information, set up meetings and events, and ensure day-to-day operations run smoothly. This position has one direct report, the Administrative Assistant to the Senior Managers.
Responsibilities
Provide primary administrative and liaison support to the CEO and CFO, managing confidential matters, complex calendars, and daily priorities; prepare correspondence, reports, presentations, meeting materials, travel,
and expense reporting; and support special projects and action-item tracking.
Coordinate onboarding and offboarding for CEO and CFO direct reports; support the Board of Directors and Executive Team by scheduling meetings, preparing agendas and packages, recording minutes, and ensuring compliance with bylaws.
Coordinate organizational meetings and events, ensure technical readiness, liaise with government ministries, administer job grants, support fundraising and marketing initiatives, and complete other duties as assigned.
Qualifications
Office Administration certificate.
A minimum of 4 years experience providing senior leadership/executive support.
Experience working with a Board of Directors an asset.
